## Can AI do my bookkeeping?

Partly. AI now does 3 bookkeeping jobs well: suggesting categories for bank feed transactions, reading receipts and matching them, and drafting reports. It cannot tell a loan payment from an expense without context, decide what a transfer between your own accounts was, or sign off a reconciliation. Someone still has to review the books every month.

Can AI do my bookkeeping? For the repetitive part, yes. QuickBooks Online now suggests a category or a match for every bank feed line, receipt apps read a photo and fill in the vendor and total, and a chatbot will explain any entry you paste into it. The part AI cannot do is know what your business did. It sees a $1,850 payment to a bank and a $5,000 deposit into savings; it does not know that one is a loan payment and the other is your own money moving between accounts. Those are the transactions that decide whether the books are right.

This page is written for owners deciding how far to trust the tools, as of October 28, 2026. The tools change every few months, so the features below are described from each vendor’s own help pages on that date.

## The four kinds of AI in a small business’s books

| Tool | What it does | What it needs from you |
| --- | --- | --- |
| AI built into QuickBooks Online | Suggests a match or category for each bank feed transaction, suggests the payee, warns when a match is likely still syncing | Approval of each suggestion, and correct history to learn from |
| Receipt capture apps | Read a photo or PDF receipt and pull out the vendor, date and amount, then match it to the bank line | The receipt, and someone to fix misreads |
| Standalone AI bookkeeping apps | Connect to your QuickBooks file and review or post bank transactions in bulk | A person who checks what they posted |
| General chatbots such as ChatGPT | Explain accounting, draft journal entries, turn a statement into a spreadsheet, suggest categories for a list | Everything else: they do not hold your ledger |

The QuickBooks part is the one most owners already have. Intuit’s help article on [AI suggestions for bank transactions](https://quickbooks.intuit.com/learn-support/en-us/help-article/bank-transactions/ai-suggestions-help-match-categorize-bank/L8FHOh4AD_US_en_US) (updated August 26, 2026) says the AI-powered bank transactions page is available to all QuickBooks Online customers, with the exact features depending on the plan. Suggestions come from your own past categorizations and the full bank description. Each one carries a Review Signal: a green checkmark when similar transactions have consistently gone to that category, blue when the history varies, and orange when there is little or no history behind it. Suggested matches get a green or blue confidence badge, and low-confidence matches are filtered out.

That design tells you where the risk is. A suggestion is only as good as the categorizations it learned from. A file that was categorized correctly for a year gets good suggestions; a file where a loan payment was booked as an expense in January gets the same mistake suggested, with a green checkmark, every month after.

## Bookkeeping jobs: what AI does well and what it gets wrong

| Job | What AI does well | What it gets wrong | Who has to check |
| --- | --- | --- | --- |
| Categorizing bank feed lines | Repeat vendors: software, fuel, utilities, the same supplier every week | New vendors, one-off purchases, and anything that was miscategorized before | Whoever approves the bank feed, every week |
| Matching receipts and bills | Reading the total and date, matching to a bank line with the same amount | Split purchases, receipts covering two bank lines, personal items on a business card | The owner, who knows what was bought |
| Bank reconciliation | Matching cleared lines to the statement | Proving the ending balance, finding the deposit that never arrived, deciding why a difference exists | A bookkeeper, each month |
| Transfers between your own accounts | Recognizing a transfer when both sides already exist in the file | The second side, which it often books as income or expense | A bookkeeper, at reconciliation |
| Loan payments | Spotting the lender’s name | Splitting the payment into principal and interest; it needs the lender’s statement | A bookkeeper, against the loan statement |
| Owner draws and contributions | Little: a transfer to a person looks like a contractor payment | Treating the owner’s money as revenue or expense | The owner and the bookkeeper |
| Accruals and prepaid expenses | Nothing on its own; the bank feed shows cash, not timing | Booking a 12-month insurance premium as one month’s expense | A bookkeeper, at month end |
| Year-end adjustments | Drafting a depreciation or inventory entry if you supply the numbers | Knowing the asset list, the inventory count or the tax method | A bookkeeper and the CPA |

The pattern in the table: AI is good when the answer is in the transaction itself, and weak when the answer is in a document or in your head. A loan statement, a closing statement, a lease, an inventory count and “that was me paying myself” are not in the bank feed.

## Why a green checkmark can still be wrong

Two examples show how an auto-categorized file drifts.

**A loan payment booked as one expense.** The bank shows a $1,850 payment to the lender each month. The lender’s statement says $1,520 of it reduced the loan and $330 was interest. If the first payment was categorized to interest expense, the AI suggests the same thing every month after.

| Account | Correct entry | Auto-categorized entry |
| --- | --- | --- |
| Loan Payable (debit) | 1,520.00 | 0.00 |
| Interest Expense (debit) | 330.00 | 1,850.00 |
| Checking (credit) | 1,850.00 | 1,850.00 |

Each month, expenses are overstated by the principal and the loan balance on the balance sheet never goes down. Twelve payments like this put more than $18,000 of principal on the profit and loss, which understates profit by the same amount on the return the books feed.

**A transfer booked as income.** You move $5,000 from checking to savings. The checking side is recognized as a transfer. The savings account has almost no history, so the $5,000 deposit gets an orange-signal suggestion of sales, and someone clicks it. Revenue is now $5,000 higher than it was, and nothing in the profit and loss looks wrong at a glance.

Both errors pass every check except one: reconciling the loan and savings balances to their statements. That is why reconciliation is the step to keep human. The month-by-month version of it is in the [bookkeeping cleanup checklist](/blog/bookkeeping-cleanup-checklist/).

## What a year of unreviewed AI categorization looks like

Files that were auto-categorized all year and never reviewed tend to show the same signs:

- **A balance in Uncategorized Expense or Ask My Accountant** that nobody has gone back to.
- **Duplicates.** Intuit’s own article explains the warning QuickBooks shows when a transaction looks like it should be matched to a record that has not synced yet, such as a bill payment or payroll run. Categorizing instead of matching creates the expense twice.
- **Loan and credit card balances that do not agree with the lender’s statement**, because payments were expensed instead of reducing the liability.
- **Transfers as income**, which inflates revenue and the tax owed on it.
- **Owner spending as business expense**, and owner deposits as sales.
- **Accounts that were never reconciled**, so none of the above was caught.

Fixing that is a cleanup, not a re-run of the AI. The suggestions learned from the wrong history, so the history has to be corrected first, month by month, against the statements. [What a QuickBooks cleanup includes](/blog/what-does-a-quickbooks-cleanup-include/) lists the steps, and [QuickBooks cleanup cost](/blog/quickbooks-cleanup-cost/) answers whether AI can do the cleanup itself.

Was your QuickBooks file auto-categorized for months without anyone reconciling it?

That is a cleanup, not a one-off fix: $99 per month of backlog (20% off 6+ months), one fixed price agreed before any work starts. [Send the file for a free 48-hour review](/contact/?from=blog%2Fcan-ai-do-my-bookkeeping).

## Can ChatGPT do my bookkeeping?

Not as the system of record. A general chatbot does not hold your ledger, does not see your bank feed, and does not remember last month’s entries unless you paste them in again. What it does well:

- Explaining an entry: “how do I record a loan payment with interest?”
- Drafting a journal entry you then enter and check yourself.
- Turning a statement you exported into a spreadsheet of date, description and amount.
- Suggesting categories for a list of transactions, which you then review against your own chart of accounts.

What it cannot do is reconcile anything, because reconciliation compares your actual books to the bank’s statement, and the chatbot has neither unless you hand it both. Spreadsheets it builds should be checked against the statement’s own totals: the beginning balance plus deposits minus withdrawals must equal the ending balance before a single row goes into QuickBooks.

## Is it safe to put bank statements in ChatGPT?

That depends on what is on the statement and which ChatGPT account you use. A business bank statement shows the business name and address, the account number or its last digits, the balances, and the payees, which can include employees’ names and pay, customers who paid you, and the vendors you use. Uploading it shares all of that, including other people’s information.

What OpenAI’s own pages say, as of October 28, 2026:

- **Personal plans (Free, Plus and Pro).** [OpenAI’s data controls article](https://help.openai.com/en/articles/7730893-data-controls-in-chatgpt) says data sharing for model training is on by default in personal workspaces. You can turn it off under Settings, Data controls, “Improve the model for everyone”. New conversations are then not used for training, though they stay in your chat history.
- **Temporary chats** are not used to train models and may be kept for up to 30 days for safety purposes.
- **Business plans.** OpenAI’s [business data page](https://openai.com/business-data/) says it does not train on data from ChatGPT Business, ChatGPT Enterprise or its API platform by default.

None of those settings changes what you are sharing, only how it is used. Whether a client’s or employee’s information may go into a third-party tool is a question for your own policies and advisers, not this page. A safer habit: export only the date, description and amount columns, remove names and account numbers, and keep the statement itself in your records, not in a chat.

## Can I use AI inside QuickBooks?

Yes, and for most owners it is the AI worth using, because it works on the real ledger. The AI-powered bank transactions page suggests matches, categories and payees for each bank line. It improves when you fill in the From/To column consistently and correct its suggestions, and it gets worse when wrong categories are accepted. Treat a green checkmark as “consistent with your history”, not “correct”.

Two habits make the built-in AI safe to rely on:

1. **Approve weekly, reconcile monthly.** Weekly approval keeps each batch small enough to read. The monthly reconciliation catches what approval missed.
2. **Never categorize a line that has a potential match warning** without first looking for the record. The warning exists because categorizing would create a duplicate.

## Do I still need a bookkeeper if AI does the categorizing?

You need someone to do the parts in the right-hand column of the table above: the monthly reconciliation, the loan and transfer entries, the accruals, and a read of the profit and loss before anyone relies on it. For a business with one account and 30 transactions a month, a careful owner can do that. Past that, the test in [do I need a bookkeeper](/blog/do-i-need-a-bookkeeper/) still applies; AI made the data entry faster, not the review.

A monthly review that pairs well with AI categorizing:

1. [Reconcile every bank and credit card account](/blog/how-to-reconcile-in-quickbooks-online/) to its statement.
2. Reconcile every loan to the lender’s statement, splitting principal and interest.
3. Clear Uncategorized Expense, Uncategorized Income and Ask My Accountant to zero.
4. Check that every transfer has both sides and nets to zero.
5. Read the profit and loss next to last month’s and ask why anything moved.

### How much does AI bookkeeping cost?

The AI in QuickBooks Online comes with the subscription. Receipt apps and standalone AI bookkeeping apps charge their own monthly fee on top, listed on their pricing pages. The cost that does not show up on a pricing page is the review: someone still spends time each month on the five steps above, or pays for a cleanup later.

## Where Ledgerbrook fits

If the file was auto-categorized and never reconciled, the first job is a [cleanup](/quickbooks-cleanup/): every month is reconciled to its statements, loans and transfers are corrected, and the history the AI learns from is fixed.

$99per month of backlog20% off 6+ months

After that, [monthly bookkeeping](/monthly-bookkeeping/) is the review: every account reconciled, loans split, suspense accounts cleared and reports by the 5th business day, for $149 a month (up to 3 accounts, up to 200 transactions a month), and $199 past either limit. You keep using QuickBooks’ AI suggestions; someone checks them.
