## How do I convert QuickBooks Desktop to QuickBooks Online?

Create the QuickBooks Online company first, then in QuickBooks Desktop open Company, choose Migrate this company file to QuickBooks Online, and follow the checklist. The file must hold fewer than 4,000,000 targets, sit on the local machine, and move within 90 days of a self-signup or 180 days of an accountant-created company.

## Convert, migrate, transfer, switch

People search for this four different ways and they all mean the same job: take the company file that lives in QuickBooks Desktop and load it into a QuickBooks Online company. Intuit calls it migrating. The tool is the same whichever verb you use. If the firm is still choosing which platform a client should land on, [QuickBooks vs Xero, for a firm](/blog/quickbooks-vs-xero-for-a-firm/) covers that decision first. If the move is being forced by Desktop support ending, check [the current QuickBooks Desktop end-of-life dates](/blog/quickbooks-desktop-end-of-life/) first: Intuit changed them in August 2026.

What the tool does is copy. It does not check whether the file was right before it moved, and it does not tell you afterwards whether the result ties. So most of this post is the preparation, because that is where a migration succeeds or fails. The clicking is the short part.

## Before you open the tool

Work through these in order. Each one either blocks the migration outright or produces a file you have to repair later.

1. **Check the Desktop version.** The migration tool supports QuickBooks Desktop 2011 and later. An older file has to go through QuickBooks File Doctor first.
2. **Get the file onto the local machine.** The tool will not read a company file on a server, a network drive or a hosting service such as Rightworks. If the file is hosted, ask the host for a copy and work from that.
3. **Switch to single-user mode**, then run Verify Data from the File menu, and Rebuild Data if Verify finds anything. A damaged file converts damaged.
4. **Count the targets.** Press F2 or Ctrl+1 to open Product Information and read the total. Above 4,000,000 the file will not convert until it is condensed. Below that ceiling there are two lower thresholds that decide which QuickBooks Online plan will accept it, covered in [what doesn’t convert](/blog/what-doesnt-convert-to-quickbooks-online/).
5. **Time it around payroll.** Wait 2 to 3 business days after the last payroll run so everything has synced, and finish the migration at least 7 business days before the next scheduled payroll.
6. **Save a trial balance.** Run it in Desktop as of the migration date and keep the PDF. It is the only way to prove afterwards that the numbers survived.
7. **Create the QuickBooks Online company.** The clock starts here. A company created by the business owner through self-signup has 90 calendar days to receive a Desktop file. One created by an accountant has 180. Setting up the file through a certified ProAdvisor also unlocks a 30% discount on the new QuickBooks Online subscription: ongoing when the accountant bills it, 12 months when the business pays Intuit directly.

On a Mac, there is one more step before any of this: save a backup of the company file for Windows, because the migration runs from the Windows file.

## The steps in QuickBooks Desktop Pro or Premier

1. Sign in to the Desktop company file as the admin.
2. Open the **Company** menu and choose **Migrate this company file to QuickBooks Online**.
3. Select **Export Your Company File to QuickBooks Online**, then **Get started**.
4. Work through the checklist QuickBooks builds for your file. **Complete All** runs every task in one pass.
5. Choose between **Bring all your company data** and **Bring only list and balances**. The next section is about which.
6. Select **Yes, sign me in** and sign in to QuickBooks Online.
7. Pick the QuickBooks Online company that should receive the file, then select **Export**.

## In QuickBooks Desktop Enterprise

Enterprise hides the same tool behind a key combination. Press Ctrl+1 to open the Product Information window, then press Ctrl, B and Q together. The export window that opens is the one described above, and the steps from the checklist onwards are the same.

## Without Desktop open: the online migration tool

Intuit also runs a browser-based migration tool that takes the company file directly. Sign in to QuickBooks Online through it, select the company file from your computer (a .QBW working file, a .QBB backup or a .QBM portable file all work), and follow the prompts.

This is the easier route when the business no longer has a working Desktop install but still has a backup, which is common with a file that has been sitting untouched for a year. The preparation above still applies to it.

Firms moving several client files at once have a third option, Intuit’s batch migration tool for accountants, which runs the same conversion across a list of files.

## All your data, or lists and balances

**All company data** brings the transactions across. The new company opens with its history and its reports run back through the years you moved.

**Lists and balances** brings customers, vendors, the chart of accounts, employees, items and opening balances, and nothing else. The new company starts on the migration date with the right balances and no history behind them. The Desktop file becomes the archive.

| Migration scope | All company data | Lists and balances |
| --- | --- | --- |
| What comes across | Transactions, with reports back through the years moved | Customers, vendors, chart of accounts, employees, items, opening balances |
| Where history lives | In QuickBooks Online | In the Desktop file, kept as the archive |
| Right choice when | The Desktop history is accurate | Years of miscoded transactions would move with it |

The second option is not a lesser version of the first. It is the right choice when the Desktop file has years of miscoded transactions in it, because moving that history moves the problems with it, into a system where they are harder to trace. [Whether to start a new file](/blog/should-you-start-a-new-quickbooks-file/) works through the decision in detail.

## The one click you cannot take back

If the QuickBooks Online company already contains anything, even a few test transactions from someone trying it out, the tool asks whether to replace it. You confirm by typing Agree or selecting Replace.

Replacing is permanent. Everything in the QuickBooks Online company is deleted and cannot be restored. Check that you are about to overwrite the right company, particularly if you manage more than one, before you type it.

## What the tool leaves for you to check

The migration reports whether the import completed. It does not report whether the result matches what you had.

Some data does not convert at all: the audit trail, past reconciliation reports, memorized reports and budgets among it. Three changes affect reported numbers: inventory moves from average cost to FIFO, migrated sales tax payments attach to the wrong filing periods, and prior-year payroll arrives as balances with no detail. The full list, sorted by consequence, is in [what doesn’t convert to QuickBooks Online](/blog/what-doesnt-convert-to-quickbooks-online/).

Then compare the trial balance you saved with the same report from QuickBooks Online, and work through the rest of the [checks to run after a migration](/blog/after-a-quickbooks-migration/) in the first week, while the Desktop file is still open and licensed.

## When to hand it off

A small file with no inventory, no payroll and clean books usually converts without drama, and the steps above are enough.

The migrations that go wrong are the ones with a file that was already drifting in Desktop: unreconciled accounts, a balance in [Opening Balance Equity](/fixes/opening-balance-equity/), inventory nobody has counted. Converting one of those produces the same problems in a new place. If that describes the file, the work is a [cleanup](/quickbooks-cleanup/) alongside the move, and the [migration service](/quickbooks-desktop-to-online-migration/) covers both, priced as published offers rather than a quote.
