## How do you record accounts payable?

To record accounts payable, debit the expense or asset account and credit Accounts Payable when a bill is approved. On payment, debit Accounts Payable and credit Cash. For a $1,500 subcontractor bill on net 30 terms, debit Subcontractor Expense and credit Accounts Payable on the bill date, so the expense lands in the month the work was done.

A subcontractor finishes a job on March 15 and sends a $1,500 invoice on net 30 terms. You pay it on April 10. If the only record of that job is the bank payment in April, March looks $1,500 more profitable than it was, April looks $1,500 worse, and for most of a month your books say you owe the subcontractor nothing.

Accounts payable is the account that holds the bill between those two dates. Two entries move it: one when the bill arrives, one when you pay. The rest of this page is those two entries, early-payment discounts, vendor credits, and how to let QuickBooks Online write them so the vendor aging stays in step with the balance sheet.

## The two-step accounts payable lifecycle

Recording accounts payable requires two distinct transactions: booking the vendor obligation and settling the balance with cash.

### Stage 1: Recording the vendor bill (The accrual entry)

On March 15, a subcontractor submits an approved invoice for $1,500.00 of project work, billed under standard net 30 terms due on April 14.

| Date | Account | Account type | Debit | Credit |
| --- | --- | --- | --- | --- |
| Mar 15 | Subcontractor Expense | Expense | 1,500.00 | |
| Mar 15 | Accounts Payable | Accounts Payable (Liability) | | 1,500.00 |

The $1,500.00 lands in March, the month the work was done, and Accounts Payable shows the business owes it until it is paid.

### Stage 2: Disbursing cash (The settlement entry)

On April 10, the company issues an electronic bank payment to clear the $1,500.00 bill.

| Date | Account | Account type | Debit | Credit |
| --- | --- | --- | --- | --- |
| Apr 10 | Accounts Payable | Accounts Payable (Liability) | 1,500.00 | |
| Apr 10 | Operating Checking | Bank (Asset) | | 1,500.00 |

This entry relieves the liability on the balance sheet and reduces cash. Notice that no income or expense accounts are touched in April: the expense was already recognized in March when the work was completed.

## Recording prompt-payment discounts (2/10 Net 30)

Vendors frequently offer early payment cash discounts to speed up cash flow. Common trade terms like **2/10 net 30** mean the buyer receives a 2% discount if the invoice is paid within 10 days; otherwise, the full balance is due in 30 days.

Taking a 2% discount on the $1,500.00 subcontractor bill saves the business $30.00, requiring a net cash payment of $1,470.00 to satisfy the full $1,500.00 liability.

The settlement entry is recorded as:

| Date | Account | Account type | Debit | Credit |
| --- | --- | --- | --- | --- |
| Mar 22 | Accounts Payable | Accounts Payable (Liability) | 1,500.00 | |
| Mar 22 | Operating Checking | Bank (Asset) | | 1,470.00 |
| Mar 22 | Purchase Discounts | Contra-Expense | | 30.00 |

The full $1,500.00 liability is zeroed out, cash decreases by $1,470.00, and the $30.00 discount credits either a dedicated `Purchase Discounts` contra-expense account or the original `Subcontractor Expense` line, reducing your net project cost.

## Accounts payable vs accounts receivable: two sides of the ledger

Accounts payable and accounts receivable are structural twins that mirror each other across opposite sides of a commercial transaction:

| Dimension | Accounts Payable (AP) | Accounts Receivable (AR) |
| --- | --- | --- |
| **Balance sheet classification** | Current Liability (Natural Credit) | Current Asset (Natural Debit) |
| **Economic relationship** | Money you owe to vendors | Money customers owe to you |
| **Initial entry** | Credit AP, Debit Expense/Asset | Debit AR, Credit Revenue |
| **Settlement entry** | Debit AP, Credit Cash | Debit Cash, Credit AR |
| **Subledger report** | Accounts Payable Aging Summary | Accounts Receivable Aging Summary |
| **Key business risk** | Unrecorded liabilities & cash crunches | Uncollectible invoices (see [bad debt write-offs](/blog/journal-entry-for-bad-debt/)) |

Understanding this symmetry makes balance sheet troubleshooting straightforward: if an entity owes money for past delivery, the debtor records AP and the creditor records AR.

## How to handle vendor credit memos and returns

When you return defective inventory or receive a billing credit from a vendor, do not delete the original bill. Record a vendor credit to maintain an auditable transaction history.

For a $250.00 vendor credit on returned shop materials:

| Date | Account | Account type | Debit | Credit |
| --- | --- | --- | --- | --- |
| Mar 20 | Accounts Payable | Accounts Payable (Liability) | 250.00 | |
| Mar 20 | Job Materials | Cost of Goods Sold | | 250.00 |

Debiting Accounts Payable lowers what you owe the supplier, while crediting the expense account reduces your material costs. When the next vendor bill arrives, the credit memo is applied against the outstanding balance before payment is calculated.

## How to record accounts payable in QuickBooks Online

In QuickBooks Online, recording accounts payable requires using dedicated forms rather than raw journal entries.

### The manual journal entry trap in QBO

QuickBooks Online enforces a strict subledger rule: every line in a journal entry that touches Accounts Payable **must include a vendor name in the Name field**. If the name is blank, QuickBooks blocks the transaction from saving.

However, even when a vendor name is provided, recording AP through manual journal entries causes serious reporting issues:

- Journal entries do not link automatically to unpaid bills on the **Accounts Payable Aging Detail** report.
- The debit and credit amounts sit as separate open lines on your aging reports until someone manually links them in **Pay Bills**, which rarely happens, so they clutter the report and obscure genuine overdue bills.

### The correct QBO workflow

To keep your AP subledger synchronized with your balance sheet:

1. **Enter the Bill:** Select **\+ New > Bill**. Select the Vendor, set the Bill Date and Terms, assign the Category (expense account), and enter the Amount ($1,500.00). Click **Save and close**. QBO automatically posts the Stage 1 accrual entry (debiting expense, crediting Accounts Payable).
2. **Pay the Bill:** When sending payment, navigate to **\+ New > Pay Bills**. Select the payment account (Operating Checking), check the box next to the vendor’s bill, verify the payment amount, and click **Save and close**. QBO automatically posts the Stage 2 settlement entry (debiting Accounts Payable, crediting Cash) and marks the bill as Paid.
3. **Match in the Bank Feed:** When the ACH payment or check clears the bank, open **Bank transactions** and click **Match**. Do not select “Add”, which would duplicate the expense.

## Three accounts payable mistakes in inherited files

During historical cleanups, disorganized accounts payable accounts consistently display three major red flags:

1. **The duplicate expense disaster:** Staff entered vendor bills manually, but when the bank payments cleared on the bank feed, someone clicked “Add” to an expense account instead of “Match” to the bill payment. The result: expenses are counted twice on the P&L, while open bills sit unpaid on the AP Aging report forever.
2. **Ghost balances on the AP Aging report:** Years of unapplied vendor credits, manual journal entries, and canceled checks float on the aging report with a net zero balance, creating a 50-page aging report for an active vendor list of ten companies.
3. **The subledger disconnect:** The total balance on the Accounts Payable Aging Summary report fails to match the Accounts Payable line on the Balance Sheet. This occurs when prior accountants posted direct journal entries to AP without linking them to underlying vendor documents.

Fixing accounts payable errors requires matching bank disbursements to open bills, cleaning out historical vendor credits, and reconciling the AP subledger to the general ledger line by line. Checking each vendor’s statement against QuickBooks is the fastest way to find them; [reconciling a vendor statement in QuickBooks Online](/blog/how-to-reconcile-in-quickbooks-online/#how-to-reconcile-a-vendor-statement-in-quickbooks-online) lists the four usual gaps.

If your Accounts Payable aging report does not tie to your balance sheet, that is [cleanup](/quickbooks-cleanup/) work, priced on the number of months the file has run unassisted:

When work is done in one month and billed in the next, the bill alone is not enough: that is an [accrued expense](/blog/journal-entry-for-accrued-expenses/), and it needs its own entry at month end. Entering bills as they arrive is part of every [monthly close](/monthly-bookkeeping/) we run, the [journal entry reference](/blog/journal-entry-examples/) has the rest of the series, and if your AP aging and balance sheet have stopped agreeing, [send the file for a free review](/contact/?from=blog%2Fjournal-entry-for-accounts-payable).
