## How should a small business organize receipts for taxes?

Capture each receipt when you pay, photograph paper ones, and attach it to its transaction in your books so 1 search finds both. A usable receipt shows 4 things: who was paid, how much, when and what for. A bank statement proves payment but not the purpose, so it backs up a receipt rather than replacing it.

Organizing receipts for business is a filing problem only on paper. The shoebox, the accordion folder and the “Receipts 2026” email label all fail the same way: in March, someone has to match each piece of paper to a line on a bank statement, and the paper with no line and the line with no paper are both unexplained. The system that works puts the receipt on the transaction, in the books, the week it happens.

Receipt apps sell the capture step, and they are good at it. The part they leave out is the other half: matching each receipt to the bank or card line it belongs to and checking each month that nothing is missing. This post covers the whole system for a small business: what a usable receipt shows, how to capture and name it, how QuickBooks Online matches it, and the monthly check. For a year that is already over and missing receipts, start with [audited without receipts](/blog/audited-without-receipts/) instead. Ledgerbrook keeps books and does not prepare or file returns.

## What a usable business receipt shows

A receipt has one job: to show what the business paid for, so the expense in the books can be supported. IRS Publication 583 says supporting documents for expenses “should show the amount paid and that the amount was for a business expense” ([Pub. 583](https://www.irs.gov/publications/p583), revised December 2024). In practice that is four things:

1. **Who was paid.** The vendor’s name, as it appears on the receipt or invoice.
2. **How much.** The total, including tax and tip.
3. **When.** The date of the purchase.
4. **What for.** The items or service bought, and, where it is not obvious, the business reason.

The fourth item is the one most receipts lack. A card slip that reads “Total $86.40” proves the first three. An itemized receipt shows what was bought. Neither says why a $86.40 lunch was a business meal; for that, write the purpose and who attended on the receipt or in the transaction memo, the day it happens.

Some expenses need more. For business meals, Pub. 463 says a restaurant receipt is enough when it shows the name and location of the restaurant, the number of people served, and the date and amount; travel, gifts and vehicle use need records of time, place and business purpose as well ([Pub. 463](https://www.irs.gov/publications/p463), for 2025 returns). Its $75 threshold for those expenses is narrower than it is usually described, and is explained in [the audit post](/blog/audited-without-receipts/).

Invoices from vendors, order confirmations, subscription billing pages and contractor invoices all count as receipts for this purpose. The format does not matter; the four facts do.

## Are bank statements enough for taxes?

No, not on their own. A bank or card statement shows the payee, the amount and the date, which proves the payment. It does not show what was bought. Pub. 583 accepts certain account statements as proof of payment when there is no canceled check, but warns that proof of payment alone “does not establish you are entitled to a tax deduction,” and says to keep documents such as sales slips and invoices as well.

So the statement and the receipt do different jobs, and a system needs both:

| Record | Proves | Missing |
| --- | --- | --- |
| Bank or card statement line | That you paid, how much, to whom, when | What it was for |
| Receipt or invoice | What was bought, from whom, for how much | That the business paid it, from which account |
| Both, matched in the books | The whole expense | Nothing, unless the business purpose needs a note |

The statement still matters at tax time for other reasons: it is what the books are reconciled to, and it shows deposits the return has to account for. Keep the monthly statements for every business account, downloaded as PDFs, beside the books.

Receipts in a folder, transactions in QuickBooks, and nothing connecting them?

That is a cleanup, not a one-off fix: $99 per month of backlog (20% off 6+ months), one fixed price agreed before any work starts. [Send the file for a free 48-hour review](/contact/?from=blog%2Forganize-business-receipts).

## How to organize receipts for taxes: the four-step system

### 1\. Capture at the point of payment

Photograph a paper receipt before leaving the counter, or forward the email receipt the same day. Capture is the only step that cannot be done later: a paper receipt left in a car fades, and an email receipt goes to a personal inbox and is forgotten. Thermal paper receipts can fade to blank, so the photo is the record, not the paper.

### 2\. Send everything to one place

One inbox for receipts, not three. In QuickBooks Online that place is the Receipts list (below); in other systems it is the receipt app’s inbox. Personal email, a phone’s camera roll and a desk drawer are three places, and a receipt in the wrong one is the same as no receipt.

### 3\. Attach the receipt to its transaction

Each receipt is matched to the bank or card line it paid. That step is what lets one search find both, and what makes the monthly check possible. A receipt that has been matched does not need its own filing system; it is filed with the transaction, by date, vendor and account.

### 4\. Check the month before you close it

At month end, before the reconciliation, list every expense over a threshold you set (for example $75, or every expense for a business with few transactions) that has no attachment. Chase the missing ones while the vendor still has them on file. A month with no gaps is closed; a month with gaps has a short list, not a shoebox.

### How should receipt files be named?

Files that end up attached to transactions need no special name, because the transaction carries the date, vendor and amount. For files kept outside the books, a consistent pattern sorts itself: date, vendor, amount, for example `2026-10-14 Staples 86.40.pdf`. Year-first dates sort in order in any folder.

## How to categorize receipts for taxes

Categorize the transaction, not the pile of paper. A receipt attached to its transaction takes that transaction’s category, so no separate folder for meals or supplies is needed. Take the categories from the return the business files. A sole proprietor or single-member LLC files Schedule C, and its Part II expense lines make a ready list ([Instructions for Schedule C](https://www.irs.gov/instructions/i1040sc), 2025):

| Receipt | Category | Schedule C line |
| --- | --- | --- |
| Online ads, printed flyers | Advertising | 8 |
| Fuel and vehicle repairs, if you deduct actual costs | Car and truck | 9 |
| Independent contractor’s invoice | Contract labor | 11 |
| CPA or attorney invoice | Legal and professional services | 17 |
| Office supplies and postage | Office expense | 18 |
| Materials used in the work | Supplies | 22 |
| Hotel and airfare on a business trip | Travel | 24a |
| Business meal | Meals | 24b |
| Business phone line and electricity | Utilities | 25 |

Give meals their own category, because in most cases only 50% of a business meal is deductible. An expense with no line of its own goes to other expenses, line 27b on the 2025 form. A personal purchase is not an expense at all: it is an [owner’s draw](/blog/owners-draw/). If you can’t tell, code it to [Ask My Accountant](/fixes/ask-my-accountant/) and clear it before the month closes. S corporations and partnerships file different forms with different lines, so ask the preparer how their accounts map to the return.

## Matching receipts in QuickBooks Online

QuickBooks Online has a Receipts list that takes uploads from three places and matches them to transactions already in the books ([Intuit: upload receipts and bills](https://quickbooks.intuit.com/learn-support/en-us/help-article/import-transactions/upload-receipts-bills-quickbooks-online/L862MmZHn_US_en_US)):

- **Web:** go to **All apps**, then **Accounting**, then **Receipts**, and choose **Upload from computer** or **Upload from Google Drive**.
- **Mobile app:** open the menu, then **Receipt snap**, then **Receipt camera**, take the photo and select **Use this photo**.
- **Email:** an admin sets up a forwarding address with **Forward from email**, then chooses which users can forward receipts. Receipts must be sent from the email address the user signs in to QuickBooks with.

Intuit’s article accepts PDF, JPEG, JPG, GIF and PNG files, one receipt per file. iPhone photos saved as HEIC may need converting first. The article lists the feature on Simple Start, Essentials, Plus, Advanced and Solopreneur, and says it is limited on QuickBooks Online Free and Lite.

Uploaded receipts land in the **For review** tab. Each one shows how many existing transactions QuickBooks found that might match. Select **See suggested matches**, pick the expense and select **Match**; if the right transaction is not suggested, use **Search manually**. When there is no match, the receipt can be turned into a new expense instead, but check the bank feed first: if the bank line is already in the books, creating a second expense from the receipt counts it twice.

The order that avoids duplicates: let the bank feed bring in the transaction, categorize it (see [bank feeds in QuickBooks Online](/blog/bank-feeds-in-quickbooks-online/)), then match the receipt to it. A receipt matched to a reconciled transaction is the strongest record the books can hold.

### Other receipt apps

Dext, Hubdoc (owned by Xero), Expensify and the receipt capture built into business card programs such as Ramp and Brex all do the same core job: capture, read the vendor, date and amount, and push the receipt to the accounting system with the transaction. The choice depends on what the business already uses. Whichever it is, the test is the same: does each receipt end up attached to the transaction in the books, or in a separate archive nobody matches?

## Do I need to keep all my business receipts?

Every expense the business deducts needs support, so in practice yes, keep the record for every business purchase. It does not have to be paper. Pub. 583 says the requirements for hard-copy records also apply to electronic storage systems, and that original paper records may be destroyed once the electronic system has been tested to reproduce them in compliance with IRS requirements (Rev. Proc. 97-22). A legible scan or photo attached in the books, kept as long as the return it supports can be examined, does the job. How long that is falls outside this post; the preparer will say for your returns.

## Common questions about business receipts

### What is the easiest way to track receipts for a business?

Photograph each receipt at the moment of payment with the accounting software’s own mobile app, so it goes straight to the books and waits there to be matched. Every other method adds a step, and every added step is where receipts get lost.

### What is the best receipt organizer for a small business?

The one built into, or connected to, the accounting system the business already uses, so receipts attach to transactions rather than sit in a separate archive. QuickBooks Online’s Receipts list, Dext, Hubdoc and Expensify all connect that way; a standalone folder or scanner does not.

### Which comes first, an invoice or a receipt?

The invoice. A vendor sends an invoice asking to be paid; the receipt confirms the payment. For a business paying a vendor’s invoice by bank transfer, the paid invoice plus the bank line is the record, and no separate receipt is needed.

### What are the IRS rules for keeping receipts?

The IRS does not require a particular kind of record: Pub. 583 says “the law does not require any specific kind of records,” except in a few cases, as long as the system clearly shows income and expenses. The documents have to support each entry, which is why the four facts above matter more than the format. Travel, meals, gifts and vehicle use have the stricter rules in Pub. 463.

## When a year of receipts was never matched

Unmatched receipts are a catch-up, not a filing job. The bank and card statements are entered and reconciled month by month, each expense is matched to the receipt, invoice or vendor record that supports it, and the gaps are listed while there is still time to request duplicates.

> **When to hand this off:** if more than a month of transactions has no receipts attached, or receipts sit in a folder that was never matched to the books, the fix covers months already past. A [free file review](/contact/?from=blog%2Forganize-business-receipts) counts the gaps and prices the catch-up before work starts. What it covers is on the [catch-up bookkeeping](/quickbooks-catch-up-bookkeeping/) page. The deductions those receipts support are listed in [small business tax deductions](/blog/small-business-tax-deductions/).
