## What do you need to set up QuickBooks Online?

Before opening QuickBooks Online, gather 8 key items including your EIN, opening bank statements, sales tax IDs, and payroll records. Then execute setup in strict sequence: company settings, chart of accounts, opening balances, feeds, and rules. Entering opening balances before connecting feeds prevents transactions from duplicating into Opening Balance Equity.

Most QuickBooks setup checklists are organized around menus: click Settings, click Sales, click Expenses. That layout ignores the accounting dependencies that actually govern a file.

If you connect your bank feeds before entering opening balances, the feed imports transactions that your opening balances already account for. If you enter opening balances inside QuickBooks’ account creation screens rather than via journal entry, the software dumps the offset into [Opening Balance Equity](/fixes/opening-balance-equity/), leaving you with a balance sheet error on day one.

The order of operations is the whole game. Here is the exact preparation and execution sequence for setting up a clean, production-ready QuickBooks Online company file.

The same sequence formatted with sign-off checkboxes for your team: [download the setup checklist (Excel)](/downloads/ledgerbrook-quickbooks-online-setup-checklist.xlsx). No email required.

## What to gather before you open QuickBooks Online

Do not create the company subscription until you have these eight documents on hand. Half-finished setups abandoned mid-workflow create fragmented records:

| Item | What to collect | Where it comes from | Why it is needed before opening QBO |
| --- | --- | --- | --- |
| **1\. Legal entity details** | Legal name, DBA, EIN, formation date, entity tax form (1120-S, 1065, 1120, Schedule C) | IRS Form SS-4 letter or state registration certificate | Governs tax form mapping, fiscal year settings, and 1099 compliance |
| **2\. Books start date** | Exact calendar date the books begin (e.g., January 1 or company inception) | Engagement agreement or tax filing year | Determines opening balance cut-off dates and feed download windows |
| **3\. Opening bank statements** | Official statements showing ending ledger balances as of the books start date | Online banking portals for each checking, savings, and credit card account | Provides the opening cash balance that must reconcile on day one |
| **4\. Prior-year tax return & trial balance** | Federal tax return (Form 1120-S, 1065, 1120, or Schedule C) and closing trial balance from prior accountant | CPA or prior tax preparer | Required if transitioning an existing business to roll forward ending equity |
| **5\. Sales tax registrations** | State sales tax permit numbers, local tax jurisdictions, filing frequency (monthly/quarterly) | State Department of Revenue portals | Needed to configure automated sales tax rates before issuing invoices |
| **6\. Payroll records** | State unemployment ID, withholding ID, employee W-4s, prior-quarter wage summaries | State labor department and prior payroll provider (e.g., Gusto, ADP) | Prevents year-to-date tax withholding discrepancies when payroll launches |
| **7\. Merchant processor details** | Merchant account IDs, payout schedules, fee structures (Stripe, Square, Shopify, PayPal) | Payment processor settings | Required to configure separate clearing accounts and prevent gross vs. net revenue errors |
| **8\. Open A/R and A/P aging** | Itemized list of unpaid customer invoices and unpaid vendor bills as of the start date | Invoicing software or physical file folder | Establishes the beginning Accounts Receivable and Accounts Payable sub-ledgers |

## The 7-step setup sequence, in order

Follow these steps chronologically. Each step establishes the baseline required by the step beneath it.

### Step 1: Set company preferences and accounting rules

Navigate to **Gear Icon > Account and Settings** before entering transactions.

- **Company:** Enter the exact legal business name, DBA, and EIN. Intuit uses this text on all sales receipts and 1099 filings.
- **Billing & Subscription:** Confirm your plan tier matches your operations: Simple Start supports 1 user; Essentials adds bill management and up to 3 users; Plus adds inventory tracking and project profitability (job costing) for up to 5 users; Advanced includes custom roles, batch workflows, and up to 25 users. _(Note: If you have not purchased your subscription yet, having a QuickBooks Certified ProAdvisor provision your company file unlocks a **30% discount on QuickBooks Online, Workforce, & Time** (ongoing when your accountant bills the subscription, 12 months when you pay Intuit directly; new subscriptions only).)_
- **Advanced > Accounting:** Select your **Fiscal Year Start** (usually January) and **Tax Form**. Choose your default **Accounting Method** (Cash or Accrual).
- **Turn on Account Numbers:** Enable account numbering under **Advanced > Chart of Accounts**. Numbered accounts keep your balance sheet organized as the business scales.

### Step 2: Build a customized Chart of Accounts

Intuit generates a generic chart of accounts during signup containing dozens of irrelevant accounts. Purge this default bloat before posting data.

1. **Delete or inactivate unused accounts:** Remove accounts like “Uncategorized Expense,” duplicate auto expenses, or industry accounts that do not apply to your trade.
2. **Establish standard account numbering:**
    - `1000–1999`: Assets (Cash, Receivables, Equipment)
    - `2000–2999`: Liabilities (Credit Cards, Payables, Loans, Payroll Tax Liabilities)
    - `3000–3999`: Equity (Owner’s Equity, Retained Earnings, Partner Capital)
    - `4000–4999`: Revenue (Operating Sales, Service Income, Discounts)
    - `5000–5999`: Cost of Goods Sold (Direct Materials, Subcontractor Labor)
    - `6000–7999`: Operating Expenses (Rent, Insurance, Software, Utilities)
3. **Use industry templates:** For specialized businesses, follow a proven hierarchy such as our [construction chart of accounts](/blog/chart-of-accounts-for-contractors/) or [restaurant chart of accounts](/blog/restaurant-chart-of-accounts/).

### Step 3: Enter opening balances as of the start date

This is where unassisted setups fail. When you add a bank account in QuickBooks, the software asks: _“What was the balance on this date?”_ **Leave that box blank.**

Entering a figure into that prompt creates an automated system entry that offsets directly into [Opening Balance Equity](/fixes/opening-balance-equity/), which is a holding account that should never hold a permanent balance.

Instead, enter beginning balances through a single **Opening Journal Entry** dated on the books start date:

- **Debit** beginning cash and bank balances (matching the closing statement balance of the prior period).
- **Debit** fixed assets, equipment, and beginning inventory at historical cost basis.
- **Credit** accumulated depreciation (contra-asset).
- **Credit** outstanding notes, loans, and credit card liabilities.
- **Debit `Opening Balance Suspense`** for the total starting Accounts Receivable balance, and **credit `Opening Balance Suspense`** for total starting Accounts Payable. (QuickBooks Online requires customer/vendor names on direct AR/AP lines; routing totals through suspense keeps the entry square while you enter the itemized sub-ledgers in Step 4).
- **Credit** Retained Earnings (for corporations) or Owner’s Equity (for LLCs/sole proprietorships) for the balancing net equity.

### Step 4: Enter open Accounts Receivable and Accounts Payable sub-ledgers

If the business had unpaid customer invoices or outstanding vendor bills on the start date, they must be entered individually so you can apply incoming customer payments and pay vendor bills later:

1. Create a temporary clearing account named `Opening Balance Suspense` (an Other Current Asset or Other Current Liability).
2. Enter each historical unpaid customer invoice dated on or before the start date, assigning the line item to `Opening Balance Suspense`. This debits Accounts Receivable (with customer detail) and credits suspense.
3. Enter each unpaid vendor bill dated on or before the start date, assigning the expense line to `Opening Balance Suspense`. This credits Accounts Payable (with vendor detail) and debits suspense.
4. When all open invoices and bills are recorded, the debits and credits in `Opening Balance Suspense` will balance the Step 3 journal entry offsets to exactly **$0.00**, and your AR/AP aging reports will tie out to the balance sheet.

### Step 5: Connect bank and credit card feeds

Only connect your live bank and credit card feeds **after** opening balances are recorded.

When connecting an account:

1. Select the bank from the QuickBooks directory and authenticate credentials.
2. Link the feed to the corresponding bank or credit card account created in your Chart of Accounts.
3. **Crucial setting:** When QuickBooks asks how far back to download transactions, choose **Custom Date** and select the day **immediately following** your opening statement date.

If your opening statement ended on December 31, set the feed start date to **January 1**. If you download transactions prior to January 1, you will import transactions already captured in your opening balance, creating [duplicate transactions in your bank feed](/fixes/duplicate-transactions-bank-feed/). Read our full guide to [bank feeds in QuickBooks Online](/blog/bank-feeds-in-quickbooks-online/) before matching live feed lines.

### Step 6: Configure baseline bank rules

Automating vendor categorization early prevents transaction backlogs, but aggressive rules create miscategorized books. Set up 3 to 5 conservative rules:

- **Recurring fixed expenses:** Rent, utility payments, and core monthly software subscriptions (Google Workspace, Slack, Microsoft 365).
- **Rule criteria:** Match both the Description/Bank Text and the specific Account.
- **Auto-Add setting: OFF.** Keep the “Auto-add” toggle switched off for the first two months. Inspect each proposed match in the review queue to verify that the rule catches the correct transactions without misidentifying transfers.

### Step 7: Clear Opening Balance Equity and lock the period

Before declaring the setup complete, run a diagnostic audit:

1. **Run the Balance Sheet:** Go to **Reports > Balance Sheet** as of your opening start date.
2. **Inspect Opening Balance Equity:** The balance must be exactly **$0.00**. If a balance appears, someone typed a balance into an account card or created an inventory item with an unassigned opening valuation.
3. **Inspect clearing accounts:** Both `Opening Balance Suspense` and `Undeposited Funds` / `Payments to Deposit` must be exactly **$0.00**.
4. **Reconcile bank accounts to the opening date:** Perform a test reconciliation for each bank and credit card account to verify that the opening cleared balance matches your paper statement. The [step-by-step reconcile guide](/blog/how-to-reconcile-in-quickbooks-online/) shows where each figure goes.
5. **Lock the period:** Go to **Gear Icon > Account and Settings > Advanced > Accounting**. Turn on **Close the books**, set the closing date to the day before your operating transactions begin, and set a password. This prevents accidental backdated entries from throwing off your starting trial balance.

## The three setup mistakes that cause immediate cleanups

Every cleanup engagement we execute at Ledgerbrook begins with errors made during setup. Avoid these three missteps:

1. **The bank feed duplicate overlap:** Connecting feeds with an overlapping date window against beginning balances. The business owner sees hundreds of “unmatched” transactions, adds them all, and doubles their expenses on paper.
2. **Using Intuit’s automated opening balance wizards:** Typing dollar amounts into the “Opening Balance” box in the account settings. This fills Opening Balance Equity with unexplained clutter that a CPA will charge to unravel at year-end.
3. **Setting a start date in the past without budgeting for catch-up:** Starting a file with an effective date six months in the past, thinking setup includes backdated categorization. If months of past transactions exist, review [what QuickBooks Online setup costs](/blog/quickbooks-online-setup-cost/) and budget for [catch-up bookkeeping](/blog/quickbooks-cleanup-vs-catch-up/).

## When to hand file setup off

A standard service business with one bank account and no historical transactions can execute this checklist in about three hours.

However, you should hand setup off to a qualified QuickBooks ProAdvisor if:

- You have prior operating history that requires backdated reconciliations.
- You have physical inventory requiring FIFO valuation and item cost mapping.
- You have 1099 contractors or employees requiring historical payroll wage entry.
