## What does a QuickBooks cleanup include?

A finished QuickBooks cleanup should hand back 7 things: a saved reconciliation report for every account and month, holding accounts at zero, a balance sheet that ties to the statements, a log of every change, a closing date set in the file, a list of anything still open, and a trial balance for the tax preparer.

## The seven deliverables

A cleanup is finished when someone who did not do the work can confirm it is finished. Each item below is something you can open in the file or hold in your hand, and each one proves something specific.

| Deliverable | What it proves | Where to find it |
| --- | --- | --- |
| Reconciliation report, every account, every month | Each account agrees with the bank’s own statement | Settings, Reconcile, History by account |
| Holding accounts at zero | Nothing was parked and left | Balance sheet |
| Balance sheet that ties to statements | The month-end balances are the bank’s, not an estimate | Balance sheet as of each month-end, against the statement |
| A written log of what changed | Anyone can see what moved, and why | A document from the bookkeeper, month by month |
| Closing date set | The finished months cannot drift | Account and settings, Advanced, Close the books |
| List of open items | You know what is not done | A document from the bookkeeper |
| Closing trial balance | The tax preparer can start | Reports, Trial balance, as of the last month in scope |

If a cleanup hands back fewer than these, ask which ones are missing and why. “We cleaned it up” with no reports attached is a status update, not a deliverable. The [bookkeeping cleanup checklist](/blog/bookkeeping-cleanup-checklist/) sets out the nine steps that produce them.

## What each one is for

**The reconciliation reports** are the only proof that matters. Categorizing a transaction correctly is a judgement. Reconciling an account to its statement is arithmetic: the file and the bank agree on the ending balance, or they do not. QuickBooks saves a report each time a reconciliation is completed, and a finished cleanup has one for every account in scope for every month in scope. A gap in that list is a month nobody proved.

**The holding accounts** are where unfinished work hides. Four of them matter:

- Undeposited Funds, which some QuickBooks Online subscriptions now label Payments to Deposit
- Opening Balance Equity
- Uncategorized Income and Uncategorized Expense
- Ask My Accountant, if the file has one

Each should be zero at the end of a cleanup, or carry a balance with a written reason. A balance in [Undeposited Funds](/fixes/undeposited-funds-pileup/) usually means income counted twice. A balance in [Opening Balance Equity](/fixes/opening-balance-equity/) means a setup entry nobody finished.

**The change log** is for the next person. Your tax preparer needs to know that last March’s income dropped by an amount because duplicate deposits were excluded. A lender reviewing two years of statements may ask why a figure changed from the version they saw before. A month-by-month summary answers both without anyone reconstructing it from the audit log.

**The closing date** protects the work. Once a cleanup is signed off, setting a closing date in the file means nobody can edit a finished month without being warned, and optionally without a password. Without it, a bank feed reconnection or a well-meaning edit can undo a reconciled month and nobody notices until the next year-end.

**The open items list** names what is not done. Some things cannot be resolved by the bookkeeper: a payment nobody can identify, a statement the bank has not sent. These should be named, with what is needed to close each one, not quietly left in a holding account.

**The trial balance** is the handoff. It is the first thing a CPA or tax preparer asks for, and a cleanup that ends without one leaves them to produce it.

## Check a cleanup yourself in 15 minutes

You do not need to redo the work to know whether it was done. Five checks:

1. **Open the reconciliation history for each account.** Every month in scope should be there, with a completed report. Look for months that are missing.
2. **Run the balance sheet as of the last month-end.** Compare each bank and card balance to that month’s statement. They should match to the cent.
3. **Look at the holding accounts** on the same balance sheet. Zero, or a written reason.
4. **Run a profit and loss by month** for the period. Look for a month with no expenses, or one expense line far bigger than the others, usually a sign of something parked instead of categorized.
5. **Check that a closing date is set**, and that it is the last month of the cleanup.

If all five pass, the cleanup did what it said. If one fails, you know exactly what to ask about.

## What a cleanup does not include

Unless it is agreed in writing, a cleanup fixes the books and stops there. These are separate jobs:

- Amending a tax return that was filed on the old numbers
- Filing or correcting payroll tax returns
- Filing or correcting sales tax returns
- Issuing 1099s for the period

Each of these is a filing with its own deadline and its own signature, and the decision to amend belongs to whoever prepares the return. A good cleanup flags where one of them is needed. It does not make the decision.

## What Ledgerbrook hands back

All seven. The reconciliation report for each account and month is saved against that month in the file. The change log is written month by month as the work closes, not assembled at the end, and the count of open months is kept current so a reviewer can watch it reach zero. The steps that produce all of this are set out in [the bookkeeping cleanup checklist](/blog/bookkeeping-cleanup-checklist/).

[QuickBooks cleanup](/quickbooks-cleanup/) has the scope and the rate, and [what QuickBooks cleanup costs](/blog/quickbooks-cleanup-cost/) compares it with every firm that publishes a price.
