## How much does white-label bookkeeping cost?

Published white-label bookkeeping rates for accounting firms run from $99 to $919 per client a month in October 2026, with most entry tiers between $250 and $400. Providers price per client file, by the client's monthly expenses, or by the hour. Catch-up work, multi-entity files and tax preparation usually cost more.

Ledgerbrook is one of the providers in this table and wrote it. Every other figure links to the page it came from, read on October 13, 2026. Providers that publish no rate are left out rather than estimated, and the table is in alphabetical order, not ranked.

## Published white-label rates, October 2026

| Provider | How it prices | Published rate | Notes |
| --- | --- | --- | --- |
| [Accountlet](https://www.accountlet.com/white-label-services) | Per client, by the client’s monthly expenses | $279, $439, $679 or $919 a month | Tiers at up to $15,000, $50,000, $100,000 and $200,000 of monthly expenses; white-label rates are 20% below its standard pricing, billed monthly |
| [EcomBalance](https://ecombalance.com/white-label-bookkeeping/) | Per client | From $399 a month | Built for e-commerce clients |
| [Invitrex](https://invitrex.com/pricing) | Per client file, by complexity | $295, $495, or from $795 a month | $295 covers 1 entity and up to 3 accounts; document chasing is $95 a client a month extra |
| Ledgerbrook <br>[Free file review](/contact/?from=blog%2Fwhite-label-bookkeeping-rates) | Per client file, by accounts and volume | $99 or $199 a month | $99 covers up to 3 accounts and 200 transactions a month; QuickBooks Online only; no minimum, month to month |
| [Madras Accountancy](https://madrasaccountancy.com/blog-posts/best-white-label-bookkeeping-services-for-cpa-firms) | Per client, by volume and complexity | $250 to $800 a month | No minimum client count; month to month |
| [Maxim Liberty](https://bookkeeping-services.com/bookkeeping-for-cpa-firms/) | By the hour, in a monthly block | $300 a month for 30 hours ($10 an hour) | Unlimited client entities within the hours |
| [Steph’s Books](https://stephsbooks.com/blog/white-label-bookkeeping-cpa-firms) | Per client | About $500 a month on average | Built for professional-services clients with $1M to $10M in revenue |

Two common names are not in the table because their pages showed no rate on October 13, 2026: Pacific ABS and RemoteBooksOnline (its white-label page was unavailable). Software platforms that a firm’s own staff runs, such as Botkeeper, are a different purchase and are left out.

## What the market ranges say

Three pricing guides published this year land in the same place:

- [Steph’s Books](https://stephsbooks.com/blog/white-label-bookkeeping-cpa-firms) puts the typical range at $300 to $800 per client a month.
- [SF Business Solutions](https://sfbusinesssolutions.com/guides/white-label-bookkeeping-pricing) reads published prices in September 2026 at about $150 to $800 per client a month, and $10 to $25 an hour for offshore teams against $40 to $75 for US-based ones.
- [DNA Growth](https://www.dnagrowth.com/blog/white-label-bookkeeping-cpa-firms/) estimates the provider’s cost at $150 to $200 a month for a simple file under 100 transactions, $200 to $300 for 100 to 300 transactions with accrual books, and $300 to $500 for multi-entity or payroll files.

The published entry tiers above sit at the low end of those ranges. Entry tiers are priced for a simple, current file; a file with more accounts, more transactions or months of backlog lands in a higher tier.

## Three pricing models, and what each does to your margin

**Per client file.** A fixed monthly figure per client, stepped by accounts, transactions or entities (Invitrex, Ledgerbrook, Madras Accountancy, Steph’s Books). The cost per client is known before the month starts, so the firm’s margin is too.

**By the client’s monthly expenses.** A proxy for volume (Accountlet). Simple to read, but a client with a few large payments pays the same as one with hundreds of small ones, and a busy quarter can move a client up a tier.

**By the hour.** A block of hours spread across clients (Maxim Liberty, $10 an hour). Cheapest on a quiet file, and the only model where the cost depends on how efficiently the provider works.

A fourth model, a share of what your firm bills the client, appears in guides but on no published price list above. It gives the provider a stake in your pricing, which is the reason most firms avoid it.

## Is white-label bookkeeping worth it?

The firm sets its own fee. DNA Growth’s guide puts typical client billing at $300 to $500 a month for a simple file. Taking $500 as the fee, the margin on one simple file at each provider’s entry rate:

| Provider entry rate | Firm bills | Firm keeps a month | Firm keeps a year |
| --- | ---: | ---: | ---: |
| Ledgerbrook, $99 | $500 | $401 | $4,812 |
| Madras Accountancy, $250 | $500 | $250 | $3,000 |
| Accountlet, $279 | $500 | $221 | $2,652 |
| Invitrex, $295 | $500 | $205 | $2,460 |
| EcomBalance, $399 | $500 | $101 | $1,212 |

The arithmetic is only half of it. Review time is the cost a rate table cannot show: a provider whose work needs an hour of review a month costs that hour on top of the fee. [Subcontract bookkeeping](/subcontract-bookkeeping/) works through margin per file with review time included.

## What to check besides the rate

1. **What a “client” is.** One entity, one QuickBooks file, or one business with several entities. The same client can be one unit at one provider and three at another.
2. **What sends a file up a tier.** Accounts, transactions, monthly expenses or entities. Know which one your clients hit first.
3. **Catch-up and onboarding.** Almost every rate above is for a current file. A client months behind is a separate bill.
4. **Minimums and contract length.** Some providers start at three to five clients or an annual term; others are one file, month to month.
5. **Whose name is on the work, and who talks to the client.** White label means the client only ever deals with your firm. [What white-label bookkeeping is](/white-label-bookkeeping/) covers the arrangement and the questions to ask before handing over a file.

## How this page is kept current

The rates are re-read from each provider’s own page every quarter, and the date at the top changes when they are. A provider can ask for a correction by email, with a link to its current published price.
