## How do I record an ATM withdrawal in QuickBooks Online?

To record an ATM withdrawal in QuickBooks Online, choose 1 of 3 destinations based on what happened to the cash: an owner's draw for personal use, a transfer to a Petty Cash bank account for a cash box, or a specific expense account backed by a receipt. Never leave cash in Uncategorized Expense.

Sounds like

- Cash withdrawals from the business bank account sit in Uncategorized Expense
- The bank feed downloaded an ATM debit with no vendor name or receipt attached
- The owner took cash for personal spending, but total expenses are overstated on the Profit and Loss
- Cash removed to stock a petty cash drawer was categorized directly as an office expense

## How do you record an ATM withdrawal in QuickBooks Online?

When an ATM withdrawal downloads through the [bank feed in QuickBooks Online](/blog/bank-feeds-in-quickbooks-online/), QuickBooks does not know what happened to the physical cash. By default, it often suggests Uncategorized Expense.

Leaving cash withdrawals in Uncategorized Expense distorts your books. Cash taken out of a business checking account must be assigned to one of three destinations:

1. **Owner’s draw (equity).** The owner took cash for personal use. It is not a business deduction and belongs on the balance sheet.
2. **Transfer to petty cash (asset).** The cash went into a cash box or register till to fund minor day-to-day business purchases.
3. **A direct business expense (expense).** The cash was immediately spent on an ordinary and necessary business purchase, supported by an itemized receipt.

| What happened to the cash | Where it goes | How to record it from the bank feed |
| :--- | :--- | :--- |
| Sole proprietor or partner kept it | Owner’s draw or partner distributions (equity) | Categorize to the draw account |
| S corporation shareholder kept it | Shareholder distributions (equity) | Categorize to the distributions account |
| Went into a cash box or till | Petty Cash (Bank account, Cash on hand detail type) | Record it as a transfer to Petty Cash |
| Spent at once on a business purchase | The matching expense account | Categorize to the expense, name the vendor, attach the receipt |
| Part business, part personal | Both | Split the line between the expense and the draw |

## What is the journal entry for an ATM withdrawal?

Every ATM withdrawal credits the bank account. Only the debit changes, and it follows what happened to the cash:

| What happened to the cash | Debit | Credit |
| --- | --- | --- |
| The owner kept it | Owner’s Draw (equity) | Business Checking |
| It went into a cash box | Petty Cash (asset) | Business Checking |
| It paid a business bill | The expense, such as Supplies | Business Checking |

The sections below walk through each one in the bank feed.

## Option 1: Owner took cash for personal use (Owner’s draw)

When an owner withdraws money from a business bank account for personal spending, that withdrawal is an equity distribution, not an operating expense.

For a sole proprietorship, single-member LLC, or partnership, post the withdrawal to an equity account such as Owner’s Draw or Partner Distributions. For an S-corporation, post it to Shareholder Distributions.

Recording personal withdrawals as business expenses understates net income and claims deductions the business is not entitled to.

### How to categorize an owner’s draw in the bank feed

1. Open **Bank transactions** and select the checking account.
2. On the **For review** tab, select the ATM withdrawal line to expand it.
3. Leave the payee blank or select the owner’s name.
4. In the category field, select the equity draw account (such as **Owner’s Draw** or **Shareholder Distributions**).
5. Select **Add**.

The resulting journal entry credits the bank account and debits equity:

| Account | Debit | Credit |
| :--- | :--- | :--- |
| Owner’s Draw | $300.00 | $0.00 |
| Business Checking | $0.00 | $300.00 |

## Option 2: Cash placed into a cash box (Petty cash)

When cash is pulled from an ATM to fund a physical cash drawer, office register, or change fund, money has not been spent yet. It has only moved from one company account to another.

To track this accurately without overstating expenses, set up a dedicated petty cash account in your Chart of Accounts with Account type **Bank** and Detail type **Cash on hand**. For complete setup instructions and drawer reconciliation steps, review our guide on [petty cash in QuickBooks Online](/fixes/petty-cash/).

### How to record a transfer to petty cash in the bank feed

1. Open **Bank transactions** and select the checking account.
2. On the **For review** tab, select the ATM withdrawal line to expand it.
3. Change the transaction type to a transfer (**Record transfer** in the classic layout, **Transfer** in the newer one).
4. Select the **Petty Cash** account as the other side of the transfer.
5. Select **Add**.

QuickBooks records a balance sheet transfer between two asset accounts:

| Account | Debit | Credit |
| :--- | :--- | :--- |
| Petty Cash | $200.00 | $0.00 |
| Business Checking | $0.00 | $200.00 |

When employees or owners spend money out of the cash box later, record those individual purchases as Expense transactions in QuickBooks using the Petty Cash account as the payment source.

## Option 3: Cash spent immediately on a business purchase

If the owner or an employee withdrew cash at an ATM and immediately used it to pay for a business purchase (such as emergency job site supplies or parking), categorize the transaction directly to the relevant expense account.

### The IRS receipt rule for cash spending

A business expense is deductible when it is ordinary and necessary (IRC Section 162), and IRS Publication 583 says to keep the supporting documents that show the amount paid and that it was for a business expense: receipts, invoices, cash register tapes.

An ATM withdrawal slip from a bank is not an expense receipt. A bank slip proves only that cash left your account; it does not prove what was purchased, who the vendor was, or that the expense served a business purpose.

If cash spending lacks an itemized vendor receipt, consult your tax preparer. Undocumented cash deductions can be disallowed during an audit, so tax professionals often reclassify unverified cash outlays as owner draws.

### How to categorize a direct business cash expense in the bank feed

1. Open **Bank transactions**, select the checking account, and expand the ATM withdrawal on the **For review** tab.
2. Select or add the vendor who received the cash as the payee.
3. In the category field, select the expense account (for example, **Job Supplies**).
4. In the memo, write what was bought and why.
5. Attach a photo or scan of the itemized receipt.
6. Select **Add**.

| Account | Debit | Credit |
| :--- | :--- | :--- |
| Job Supplies | $150.00 | $0.00 |
| Business Checking | $0.00 | $150.00 |

### What if the cash was split between business and personal?

If an owner withdrew $200 in cash, spent $80 on client postage, and kept $120 for personal use:

1. Select the transaction on the **For review** tab.
2. Select **Split** next to the category field.
3. On Line 1, set Category to **Postage & Delivery**, enter $80.00, and attach the post office receipt.
4. On Line 2, set Category to **Owner’s Draw**, and enter $120.00.
5. Verify the split total matches $200.00, then select **Apply and accept**.

| Account | Debit | Credit |
| :--- | :--- | :--- |
| Postage & Delivery | $80.00 | $0.00 |
| Owner’s Draw | $120.00 | $0.00 |
| Business Checking | $0.00 | $200.00 |

## Cleaning up a year of ATM withdrawals in Uncategorized Expense

Catch-up files often have dozens of ATM withdrawals sitting in Uncategorized Expense. The year cannot be closed, and the tax return cannot be prepared, until each one has a home. This is the workflow we use with the owner:

### Step 1: Export all uncategorized cash withdrawals

1. Open the chart of accounts and run the **Account QuickReport** for **Uncategorized Expense** (or the **Transaction Detail by Account** report filtered to that account).
2. Set the report period to the year you are cleaning up.
3. Export to Excel or Google Sheets and filter the memo column for “ATM” or “withdrawal”.

### Step 2: Establish the owner review rule

Present the spreadsheet to the owner with three clear columns:

- Personal draw
- Cash box / Petty cash
- Business expense (must provide matching receipt)

Agree a default with the owner before you start: any withdrawal with no itemized business receipt goes to **Owner’s Draw**. The business then claims no deduction it cannot support.

### Step 3: Reclassify the transactions in batch

In QuickBooks Online Accountant, the **Reclassify transactions** tool under **Accountant Tools** moves them in batches:

1. Open the client file and go to **Accountant Tools** > **Reclassify transactions**.
2. Set the date range, choose **Profit and Loss** as the account type, and select **Uncategorized Expense**.
3. Tick every withdrawal the owner marked as personal.
4. Select **Reclassify**, change the account to the **Owner’s Draw** equity account, and apply.
5. Repeat for the lines with receipts, moving each group to its expense account.

Without QuickBooks Online Accountant, open each transaction from the Uncategorized Expense report and change the category.

## What to check before editing historical cash withdrawals

Before reclassifying past ATM withdrawals, verify these three controls:

1. **Reconciliation status.** Open the bank register (Settings ⚙ > Chart of accounts > View register). If a withdrawal shows an “R” in the checkmark column, it has been reconciled against a bank statement. Changing only the category or memo will not break the reconciliation. Changing the amount or the bank account will.
2. **Prior tax filings and closed periods.** If the withdrawal took place in a tax year that has already been filed, changing an expense to an owner draw alters prior-year net income and retained earnings. Check Settings ⚙ > Account and settings > Advanced > Accounting to see if a closing date password is set. Do not alter closed periods without explicit CPA instruction.
3. **ATM fees.** An out-of-network ATM often adds a surcharge. If the statement shows it inside the withdrawal amount rather than as its own line, split it out to **Bank Charges & Fees**.

## When this becomes a cleanup job

Sorting a handful of recent ATM withdrawals is a few minutes at the monthly close. When cash withdrawals span multiple years, receipts are missing, petty cash drawers were never reconciled, and balances sit across closed tax years, manual corrections quickly stall.

Reconstructing cash flows, clearing uncategorized holding accounts, and aligning owner draws across partner capital accounts is standard [QuickBooks cleanup](/quickbooks-cleanup/) work.
