## How do I fix a transaction in a month that is already reconciled in QuickBooks Online?

To fix a transaction in a reconciled month, determine which of 3 details is wrong: category, date, or amount. Changing an account category does not affect bank balances and needs no unreconciling. For a wrong date or amount, cycle the register status from R to blank, correct it, and mark it reconciled again in the period it belongs to.

Sounds like

- An expense from a closed month was posted to the wrong account
- A cleared check was entered with transposed numbers in the dollar amount
- A payment date was entered in May but cleared the bank statement in June
- QuickBooks displays a warning that saving changes will affect a reconciled balance

## Can you edit a reconciled transaction in QuickBooks Online?

Yes, QuickBooks Online lets you edit a reconciled transaction, but the result depends on which field you touch. Reconciliations confirm that cash recorded in QuickBooks matches the monthly bank statement.

Mistakes in a reconciled month fall into three cases:

1. **A wrong category.** An expense was coded to Office Supplies instead of Software. Date and amount match the bank statement. Changing the expense category updates reports without moving cash, leaving reconciliation intact.
2. **A wrong date.** Moving a date within the same statement cycle does not affect reconciliation. Moving a date across statement boundaries shifts cash into a different period, throwing both months off.
3. **A wrong amount.** Changing a dollar amount alters cleared cash, breaking that period’s ending balance and creating a discrepancy in next month’s opening balance.

Saving a change to a reconciled transaction brings up a warning that it has been reconciled and that changing it could affect future reconciliations. If you only changed a category, class, or memo, select **Yes**. For an amount or cross-period date change, follow the register workflow below instead.

| Detail changed | Affects cash reconciliation | What QuickBooks does | Correct fix |
| --- | --- | --- | --- |
| Category (expense or income) | No | Warns on save, keeps R status | Save change and accept warning |
| Memo, customer, or vendor | No | Warns on save, keeps R status | Save change and accept warning |
| Date within statement period | No | Warns on save, keeps R status | Update date and accept warning |
| Date across statement boundaries | Yes | Shifts cash into another period | Unreconcile in register, update date, re-clear |
| Dollar amount | Yes | Breaks cleared and opening balances | Unreconcile in register, fix amount, re-clear |

## How do I edit a reconciled transaction in QuickBooks Online?

To correct a reconciled transaction safely, open the register: go to **Settings** (⚙), or **All apps** then **Accounting** in newer layouts, select **Chart of accounts**, find the account, and select **View register**.

For a wrong category, select the transaction row and select **Edit**. Change the category dropdown to the correct account and select **Save and close**. When the warning prompt appears, select **Yes**. The checkmark column remains marked **R**.

For a wrong date or dollar amount:

1. In the checkmark column, click the **R** repeatedly until the box is blank (cycling from **R** to **C** to blank). Select **Save**.
2. Select **Edit**. Correct the dollar amount or date against your statement. Select **Save and close**.
3. If the transaction stays in the original statement window, click the blank box until **R** reappears, then select **Save**. If it moved into another statement period, leave it blank to clear in that month’s reconciliation.

One thing to check first on an amount error: if the month was reconciled with the wrong amount in it, it only balanced because something else gave. Usually that is a Reconciliation Discrepancies adjustment QuickBooks posted when someone finished with a difference, or a second error of the same size. Find and reverse that too, or the corrected month will be off by exactly the adjustment.

## What happens if you delete a reconciled transaction?

Deleting a reconciled transaction removes the record from the general ledger.

QuickBooks calculates beginning balances by summing all historical transactions marked **R**. Deleting an entry removes its value from that sum. On the next reconciliation, QuickBooks warns that the beginning balance does not match the last reconciled ending balance and offers to help find the difference.

To restore a deleted reconciled transaction:

1. Follow that prompt to the Reconcile Discrepancy report, which lists reconciled transactions that were changed or deleted since the reconciliation.
2. If the link is missing, go to **Settings** (⚙) > **Audit log**. Filter by **Transactions** and set **User** to **All Users**. Locate the deleted record and select **View** to inspect the date, payee, and account.
3. Select **\+ Create** (**\+ New** in older layouts) and recreate the transaction with the details from the audit log. Select **Save and close**.
4. In **Chart of accounts** > **View register**, locate the recreated transaction. In the checkmark column, click the blank box until **R** appears, then select **Save**.

This restores the reconciled balance and clears the beginning balance discrepancy.

## Before you delete or edit anything: three safety checks

Before modifying a historical entry, check these three items:

1. **Reconciled status in the register.** Transactions marked **C** cleared through bank feeds but were never reconciled on a finalized statement. They can be edited or deleted without altering beginning balances. Transactions marked **R** are locked to a reconciled statement.
2. **Linked bills, invoices, and deposits.** Deleting a bill payment reopens the vendor bill in accounts payable aging. Deleting a deposit that bundled customer payments returns those receipts to Undeposited Funds.
3. **Closed accounting periods and filed returns.** Go to **Settings** (⚙) > **Account and settings** > **Advanced** > **Accounting**, and check **Close the books**. If a closing date is active, QuickBooks requires a password to edit entries. If a tax return has been filed for that period, do not edit history directly.

## When a current-month correcting entry beats reopening history

If an error occurred in a closed tax year with a filed return, modifying historical transactions is the wrong accounting move.

Altering prior-year entries shifts opening retained earnings in the current year, creating a variance against your filed Form 1120-S, Form 1065, or Schedule C.

Instead of reopening closed periods, record a correcting entry in the current open month:

- **For misclassified accounts:** If $1,200 of repairs was coded to Office Supplies in a closed year, leave the original entry alone. In the current month, record a journal entry debiting Repairs and Maintenance and crediting Office Supplies for $1,200.
- **For a date in the wrong month inside a closed year:** leave it. Moving it changes nothing in the year’s total and reopens two reconciled months.
- **For a wrong amount in a closed year:** record the difference in the current month against the same account, with a memo naming the original transaction, and tell whoever prepared the return.

## Can I unreconcile an entire month in QuickBooks Online?

Yes, by undoing that month’s reconciliation. If you cannot find the option, it is usually a permissions question rather than a missing feature: the **Undo** option on the Reconcile history screen is shown only to the Primary Admin, or to an accountant working in the file through QuickBooks Online Accountant. Signed in as anyone else, it is not there.

Even with accountant access, undoing an entire reconciliation is rarely the right starting point. An undo cascades forward: undoing March in a file reconciled through June automatically undoes April, May, and June. The reconciliation reports for every one of those months are deleted permanently.

If only one or two transactions need correction, use the register workflow to unreconcile just those lines. For full guidance on when an entire period must come apart, see [how to undo a reconciliation in QuickBooks Online](/blog/undo-a-reconciliation-in-quickbooks-online/).

## How do I fix a messed up reconciliation in QuickBooks Online?

When prior edits knock a reconciliation out of balance, do not finish it with the adjustment QuickBooks Online offers. That posts the difference to a Reconciliation Discrepancies expense account, where it hides the real error and comes back as a question at year end.

Instead, isolate the cause in this order:

1. **Check the beginning balance.** If the beginning balance is off, a previously reconciled transaction was changed, deleted, or unreconciled. Use the discrepancy report to identify the altered item and restore it. For detailed steps, see [a bank balance that won’t reconcile](/fixes/bank-balance-wont-reconcile/).
2. **Verify statement inputs.** Confirm that the ending balance and ending date match your physical statement exactly.
3. **Match cleared items.** Review uncleared and cleared lines against your statement. For the complete workflow, follow our guide on [how to reconcile in QuickBooks Online](/blog/how-to-reconcile-in-quickbooks-online/).

## When this becomes a cleanup job

Correcting one misclassified expense takes minutes in the register. But when discrepancies span multiple quarters, entries were deleted, or prior months were forced to zero with adjustments, manual edits quickly compound.

Tracing broken reconciliation chains through closed periods, restoring deleted transactions from audit logs, and rebuilding statement periods against verified bank records is [cleanup](/quickbooks-cleanup/) work.
