## Why does QuickBooks show a sales receipt and a deposit for the same money?

QuickBooks doubles income when a sales receipt posts to Undeposited Funds and the corresponding bank feed line is added as a separate income transaction instead of matched. This creates 2 entries for 1 payment. To fix it, undo the added transaction, then match the feed line to the waiting receipt.

Sounds like

- Total income on the profit and loss is higher than actual customer deposits
- Undeposited Funds shows a positive balance that matches sales receipts already in the bank
- The bank feed shows a deposit for money already recorded on a sales receipt
- Sales receipts appear in the deposit window weeks after the money cleared the account

## Why is my QuickBooks duplicating transactions?

QuickBooks Online duplicates transactions when two features record the same revenue independently.

The duplication begins when you record a sales receipt for an immediate payment. By default, QuickBooks posts that receipt to Undeposited Funds, a temporary holding account, and credits revenue on the receipt date.

Days later, the payment clears the bank and downloads into the [bank feed](/blog/bank-feeds-in-quickbooks-online/) under Transactions, then Bank transactions. Instead of matching the downloaded line to the waiting sales receipt, someone clicks Add and categorizes the line straight to Sales.

QuickBooks now holds two records of the same money: the original sales receipt and the added deposit. Your bank register balance matches your bank statement, but revenue is doubled and the sales receipt stays stuck in Undeposited Funds. This error is distinct from feed import errors covered under [duplicate transactions in a bank feed](/fixes/duplicate-transactions-bank-feed/).

## What is the journal entry for undeposited funds?

To see why the books distort, review the debits and credits of an illustrative $1,200 sale:

When you record the $1,200 sales receipt to Undeposited Funds:

- Debit: Undeposited Funds $1,200
- Credit: Sales $1,200

When the $1,200 bank feed deposit is added directly to Sales:

- Debit: Checking $1,200
- Credit: Sales $1,200

| Transaction | Debit | Credit | Amount | Impact |
| --- | --- | --- | --- | --- |
| Sales receipt | Undeposited Funds | Sales | $1,200 | Records revenue, holds payment |
| Bank feed addition | Checking | Sales | $1,200 | Duplicates revenue, skips clearing |
| Combined ledger | Checking ($1,200), Undeposited Funds ($1,200) | Sales ($2,400) | $2,400 | Revenue and assets both overstated by $1,200 |

You collected $1,200 in cash, but your profit and loss shows $2,400 in revenue, and your balance sheet carries an extra $1,200 in Undeposited Funds.

The bank line should have debited Checking and credited Undeposited Funds, clearing the holding account while leaving revenue at $1,200.

## How to find every duplicate before making changes

Locate all paired duplicates across the file before modifying entries:

1. **Check the Balance Sheet.** Go to Reports, then Balance Sheet. Any positive balance in Undeposited Funds (labeled Payments to deposit) without physical checks in hand indicates uncleared receipts. Large backlogs create an [Undeposited Funds pileup](/fixes/undeposited-funds-pileup/), while refund errors cause [negative Undeposited Funds](/fixes/undeposited-funds-negative/).
2. **Review the register.** Go to Settings ⚙, then Chart of accounts, find Undeposited Funds, and select View register to list open receipts.
3. **Scan checking for twin deposits.** In the checking register or Profit and Loss Detail report, look for deposits categorized to Sales within 5 days of your receipt dates. An open receipt of $1,200 and an added deposit of $1,200 three days later indicate duplicate revenue.

| Cause | What you see | Fix |
| --- | --- | --- |
| Receipt to Undeposited Funds, feed added to Sales | Revenue doubled, Undeposited Funds positive | Undo the bank line, match it to the receipt |
| Receipt deposited to Checking, feed added to Sales | Revenue doubled, twin deposits in register | Undo added feed line, match feed line to receipt |
| Feed added to Sales first, receipt entered later | Two income lines, receipt stuck in clearing | Undo the feed line, match it to the receipt |

## How do I fix a double deposit in QuickBooks?

Once you find the paired transactions, repair them in this order:

### Step 1: Undo the added bank feed transaction

Go to Transactions, then Bank transactions. Select your checking account tile and open the Categorized tab (labeled Posted in some views).

Find the deposit added to Sales, and select Undo in the Action column. This moves the line back to the For review tab without deleting bank data.

### Step 2: Match the line to the waiting receipt

On the For review tab, open the $1,200 line and select Find match. Payments and sales receipts sitting in Undeposited Funds are listed there. Tick the $1,200 receipt and save. QuickBooks creates the bank deposit for you, which clears the receipt out of Undeposited Funds.

If the statement line is a batch of several receipts, tick all of them; the total has to equal the line.

### If you prefer to build the deposit first

Some bookkeepers record the deposit by hand and then match the feed line to it. Go to + Create (+ New in older layouts), then select Bank deposit. Choose your checking account and set the Date to match the statement. Under “Select the payments included in this deposit”, check the $1,200 sales receipt. Confirm the total matches the statement, then select Save and close.

This moves $1,200 from Undeposited Funds to Checking, bringing Undeposited Funds to zero.

Then go back to Transactions, then Bank transactions, and on the For review tab match the $1,200 line to that deposit. Confirm the date and amount before you select Match.

Revenue drops back to $1,200, Undeposited Funds clears, and cash reconciles.

## How do I match a sales receipt to deposit in QuickBooks?

When a customer pays with an electronic transfer that lands on the statement as a single line, match the feed line directly:

1. In Transactions, then Bank transactions, open the For review tab.
2. Select the downloaded transaction row to expand its details.
3. Select Find match.
4. Set the date filter to include the sales receipt date.
5. Check the box next to the sales receipt or deposit, then select Save.

Find match also lists receipts still sitting in Undeposited Funds, so a receipt does not have to be grouped on the Bank deposit screen before the feed line can be matched to it.

## When should you use a sales receipt vs a bank deposit?

The difference between a sales receipt and a bank deposit is what each one records.

Use a **Sales Receipt** (+ Create, then Sales receipt) when a customer pays at the time of sale. It records customer details, line items, sales tax, and income in one step, without creating an Accounts Receivable invoice.

Use a **Bank Deposit** (+ Create, then Bank deposit) to group payments from Undeposited Funds into a single deposit matching your bank slip, or to record non-sales cash like loan proceeds and owner contributions. Avoid recording sales directly on a Bank Deposit: it skips sales tax and leaves no customer sales history.

### The Deposit to setting on a sales receipt

The Deposit to field offers two choices:

- **Undeposited Funds (Payments to deposit):** Use this when batching checks, cash, or card settlements. It holds funds until you create a Bank Deposit.
- **Checking (or specific bank account):** Use this for an isolated electronic payment (wire or ACH) that appears on your statement as an unbundled line.

Depositing to Checking puts the receipt in the bank register so the feed can match it. If you deposit to Checking and click Add on the feed line instead of Match, income still doubles.

## Before you delete or edit anything: the reconciliation check

Before modifying or deleting duplicate entries, check three controls:

1. **Reconciliation status.** Go to Settings ⚙, then Chart of accounts, find the bank account, and select View register. If the deposit shows an **R** in the checkmark column, it was cleared in a completed reconciliation. Undoing or deleting an R transaction changes the beginning balance of future reconciliations. If the duplicate sits in a reconciled period, review how to [edit a reconciled transaction](/fixes/edit-a-reconciled-transaction/) before editing.
2. **Linked transactions.** Check whether the line you are removing paid an invoice. Deleting a payment linked to an invoice reopens that invoice in Accounts Receivable.
3. **Closing dates.** Under Settings ⚙ > Account and settings > Advanced > Accounting, check Close the books. If enabled, editing closed-period transactions requires a password and alters filed periods.

## What this costs to fix

An isolated duplicate deposit from the current month takes five minutes to undo and match. When duplicate sales receipts and deposits have accumulated across several months or crossed reconciled periods, fixing them is a [cleanup](/quickbooks-cleanup/) engagement. Every duplicate must be verified against bank statements, removed from the register, and matched back to its original sales receipt without shifting reconciled cash balances.
