What it costs

## Three engagements, every fee published

Keep it current, fix what's wrong, enter what's missing. For a file that already exists, that's the whole catalogue. The fee you see is the fee you pay, per client file. Ask us today and we'll tell you the same number, and whatever you charge your own client on top is yours to keep.

Keep it clean, every month

### Monthly Close

$99 to $199 per client file, per month

A client file closed by the same date every month, priced by the size of the file.

What's included

- **Every transaction categorized and reconciled** before the month is called closed.
- **Profit and loss, balance sheet and reconciliation reports** by the 5th business day.
- **Payroll, loan amortization and accruals** included where they apply.

[More on monthly close](/monthly-bookkeeping/)

Fix months that are wrong

### Cleanup

$99 per month of backlog

Entries that exist in a client's file but can't be trusted: miscategorized, unreconciled, duplicated.

What's included

- **Every flagged month re-categorized** to the file's actual chart of accounts.
- **Bank and card accounts reconciled** to the statement balance, month by month.
- **A written summary** of what was wrong and what changed.

[More on cleanup](/quickbooks-cleanup/)

Enter the missing months

### Catch-Up

$99 per month of backlog

Months a client never entered at all, brought fully current before you file.

What's included

- **Every missing month entered** from the bank feed and source documents.
- **Every account reconciled** to the statement balance for each month brought current.
- **A closing trial balance** for the period, ready for the tax preparer.

Two kinds of firm

## Which one are you?

The work overlaps. What you need from it usually doesn't.

[

Bookkeeping firms

### Take the client. We'll take the hours.

Start with the handful of files that are behind, or hand over the whole roster. Monthly close and cleanup on your clients' files, delivered under your firm's name: we never contact your client, nothing we hand back carries our branding, and the per-file fee is published so you can mark it up however suits you.

For bookkeeping firms](/for-bookkeeping-firms/)

[

CPA & EA firms

### You file the return. We'll make the file worth filing.

Year-end write-up and a handoff pack for each client: categorized, reconciled, a clean trial balance, and a written list of the items that need your judgment call. We schedule it to land comfortably before your deadline, not on top of it.

For CPA firms](/for-cpas/)

What lands on the file

## The work, item by item

Everything below is done on your client's file, under your firm's name. The first eight are inside the fees above. [Cleanup](/quickbooks-cleanup/), [catch-up](/quickbooks-catch-up-bookkeeping/) and [monthly close](/monthly-bookkeeping/) each draw on the ones the file needs.

[

### Transaction categorization and data entry

- Income and expense transactions coded to the file's own chart of accounts.
- Receipts matched to the transactions they belong to, and reimbursements recorded.

](/quickbooks-cleanup/)

[

### Bank and credit card reconciliation

- Bank and card accounts connected and syncing in QuickBooks Online.
- Every account reconciled to the statement balance, month by month.

](/blog/bank-reconciliation-explained/)

### Accounts payable

- Bills entered and organized against the right vendor.
- Due dates tracked and vendor records kept current.

### Accounts receivable

- Invoices raised and sent on the client's own template.
- Customer payments applied, and outstanding balances aged.

### Sales tax tracking

- Taxable transactions coded at the rate the jurisdiction actually charges.
- A liability report that ties to what the return will say is owed.

### Payroll recording

- Payroll entered from the client's payroll provider reports, not re-keyed from the bank.
- Payroll liabilities and deductions reconciled against those reports.

[

### Monthly financial reports

- Profit and loss, balance sheet, and a cash flow statement on request.
- A written note of what was found and what moved, sent with them.

](/monthly-bookkeeping/)

[

### Month-end review

- The file read through once more after the close, not just reconciled.
- Handed back in the state a tax preparer can work from without a call.

](/for-cpas/)

### Basic payroll, quoted separately

For clients who want the payroll run rather than only recorded. It sits outside the per-file fees above and outside [the full fee schedule](/pricing/), so tell us the headcount and pay frequency and we'll quote it with the file.

#### Payroll processing and support

- Employee or contractor payroll run weekly, bi-weekly, semi-monthly or monthly.
- Gross pay, withholdings and net pay calculated at current federal and state rates.
- Pay stubs and payroll summaries issued each run.

#### Payroll recordkeeping

- Per-person records kept for employees and contractors.
- PTO, vacation and sick time tracked where the client runs them.
- Each run posted through to the QuickBooks Online ledger, not left in the payroll app.

Start to close

## How it works

1. ### Send a client list

One file or fifteen, with accountant-level access. Send us the whole list at once and we'll scope it together instead of a referral at a time.

2. ### Per-file status back

Within 48 hours we'll tell you where each file stands: ready as it is, needs a cleanup first, or needs a full catch-up. You get the fixed fee for each one before any work starts.

3. ### Delivered to your deadline

Categorized, reconciled and back with you in 10 business days. We schedule around your filing dates so the work arrives ahead of them, not on top of them.

Frequently asked

## Questions worth answering

### Does my client ever know you're involved?

Not unless you want them to. We work as an accountant-level user on the client's QuickBooks file, we don't email or call the client unless your firm asks us to, and nothing we hand back carries our name. Questions come to your firm, and you decide what reaches the client.

### What does outsourced bookkeeping cost a firm?

Monthly close starts at $99 per client file per month, cleanup runs $99 per month of backlog, and a year-end CPA handoff pack is $199 per client. Those are the fees we charge, published in full. Whatever you bill your own client on top is yours to keep.

### Do we have to sign a contract or commit to a minimum?

No. There's no minimum file count, no minimum term and no notice period: the fee is per file, agreed before the work starts, and you can stop after any month without owing anything further. Most firms start with one file for exactly this reason. The only standing term that runs past an engagement is the one in your favour: a client you introduce is yours permanently, and we won't accept direct work from them.

### Who actually does the work on our client files?

Omkar Moraye, a QuickBooks Certified ProAdvisor, named on the about page with his credential and his work. Your file stays with the person who opened it instead of moving to whoever is free that week. So when your reviewer asks about a transaction, they get the person who categorized it, which is also why a file shouldn't come back needing a full re-review.

### If bank-feed rules and AI already categorize most transactions, why do we need you?

Honestly, mostly they do. Bank-feed rules and AI handle routine categorization well now. What they get confidently wrong is transfers, owner draws, loan principal versus interest, and anything reimbursable, because a payee string doesn't explain the money's real story. A suggested category isn't a reconciliation, and nothing automated notices a double-counted deposit or a year of undeposited funds piling up. Someone still has to answer to your reviewer for that judgment call.

### How many client files can you take at once?

Send us the whole list at once and we'll scope it as a batch, then schedule each file against your filing deadline instead of the order it landed in. A firm sending 15 files ahead of an October deadline and 15 more ahead of March gets two separate schedules, not one crowded one.

### What happens if you're unavailable mid-engagement?

Fair question, and worth asking any subcontractor. Every file's status, working papers and flagged-items list live in the client's own QuickBooks file and in a shared folder your firm can reach, so nothing is ever stranded on one laptop. If a delivery date looks at risk, you hear it the same day we do instead of on the deadline.

### Can you work around our busy season?

Yes, and it works best if we know early. Most firms send their client list 6 to 8 weeks ahead of a filing deadline, which leaves room to catch a messy file well before it's due. Leave it later than that and we'll still take it on, we'll just have less room to move on which file goes first.

### What access do you need to a client's QuickBooks file?

Accountant-level access, and nothing beyond it. That's enough to categorize, reconcile and run reports, and not enough to touch billing or delete the company file. If the login sits with the client instead of your firm, we're happy to send the access request straight to them with your firm named as the reason, so you're not the one chasing it.

### Do you post adjusting journal entries or touch the return?

No, those are yours, and we'd rather not guess at them. Depreciation schedules, book-to-tax differences and anything needing a judgment call about the return come back flagged for your review instead of posted on your behalf. A handoff pack closes the bookkeeping gap. It was never meant to close the preparer's.
