# Cleaning business bookkeeping services

## What does bookkeeping for a cleaning business include?

Bookkeeping for a cleaning business invoices recurring clients on schedule and follows up unpaid balances, records supplies and equipment in their own accounts, pays crews through payroll or collects W-9s from 1099 cleaners before the first payment, and logs mileage between jobs. Margin by client shows which contracts pay, and every account reconciles by the 5th business day.

Common for cleaning businesses

- Venmo, Zelle, card and check payments land in three places, and nobody can say which clients paid for October
- Every cleaner is paid as a 1099 contractor, but they work the owner's schedule, with the owner's supplies, in the owner's shirts
- Supplies, equipment and the owner's groceries all come from the same warehouse club run on one card
- The biggest commercial contract feels like the best client, but nobody has worked out what it costs in crew hours
- Mileage between houses was never logged, and the year's deduction will be a guess

In detail

## Recurring revenue that is easy to lose track of

Bookkeeping for a cleaning business is mostly about recurring work: the same houses every week or two, the same offices every night, billed the same amount each time. That regularity is what makes it easy to miss when a client stops paying, because nobody notices one missing $160 payment among forty.

Three habits fix most of it:

- **Recurring invoices or charges for every recurring client**, set up once in QuickBooks Online or the scheduling software, so each visit or month creates an invoice automatically.
- **One place payments land.** Card, ACH, check and payment app receipts all go to the business account and are matched to an open invoice. A Zelle payment recorded as a deposit with no invoice behind it leaves the real invoice open, and the client looks late when they are not.
- **An aging report reviewed every week.** Anything past 30 days gets a call. Cleaning margins do not survive many unpaid months.

Keep revenue by type in separate accounts: Recurring Residential, One-Time & Move-Out, and Commercial & Janitorial. They are priced differently and use crews differently, and the owner’s next pricing decision depends on knowing which one is carrying the business.

## Employees or 1099 cleaners: the decision that carries the most risk

Many cleaning businesses start by paying every cleaner as an independent contractor, because it is simpler than payroll. Whether that holds up depends on the facts, not on the label or the paperwork. The IRS looks at three kinds of evidence ([independent contractor or employee](https://www.irs.gov/businesses/small-businesses-self-employed/independent-contractor-self-employed-or-employee)):

- **Behavioral control.** Does the business decide when, where and how the cleaning is done, train cleaners on its methods, and set their schedule?
- **Financial control.** Who supplies the products and equipment, who sets the price, and can the cleaner make or lose money on a job?
- **Type of relationship.** Is there a written contract, are benefits offered, is the work ongoing, and is cleaning the core of the business?

A cleaner who works the owner’s schedule, at the owner’s clients, with the owner’s supplies, trained in the owner’s checklist, looks like an employee on most of those questions. Many states apply a stricter test of their own for unemployment insurance and wage law; California’s ABC test is the best known. A business that is unsure can ask the IRS for a determination on Form SS-8, and one that decides to reclassify workers going forward may qualify for the IRS Voluntary Classification Settlement Program (Form 8952). This is a question for an employment attorney or the company’s CPA, not for the books, but the books show the risk: a payroll line of zero next to a large Contract Labor line.

If cleaners are contractors, collect a W-9 before the first payment and file a 1099-NEC for anyone paid $2,000 or more in the year. That threshold applies to payments made after December 31, 2025; it was $600 before. Contractors paid by card, or through a payment app that issues its own Form 1099-K, generally are not reported again on a 1099-NEC.

If cleaners are employees, pay them through a payroll service, record wages, employer taxes and workers’ compensation as job costs, and keep the payroll liabilities reconciled to the provider’s reports each month. Those same payroll reports are what the insurer asks for in a [workers comp audit](/blog/workers-comp-audit/).

### What are the IRS rules for house cleaners?

From the business side, all income is reported, whether or not any client sends a form. Homeowners paying for personal cleaning do not issue a 1099-NEC, because that form is for payments made in the course of a trade or business. A commercial client may send one. Payment apps report on Form 1099-K when a payee’s payments exceed $20,000 and 200 transactions in a year, the threshold reinstated by the 2025 law ([IRS 1099-K FAQs](https://www.irs.gov/newsroom/irs-issues-faqs-on-form-1099-k-threshold-under-the-one-big-beautiful-bill-dollar-limit-reverts-to-20000)), and some states set a lower one. None of those forms changes what is taxable; they only change what the IRS can match.

## Cleaning business profit margin

“What is a good profit margin for a cleaning business?” is the question owners search for, and the published answers do not agree. Figures on ranking pages run from 10% to 45% and come mostly from software vendors and course sellers, often without saying whether they mean gross margin (after crew and supplies) or net margin (after overhead, the owner’s pay and everything else). Those are different numbers, and a business can have a healthy gross margin and still lose money once rent, insurance, software and the owner’s time are counted.

What answers it for a particular business is margin by client, which is a gross margin measured one account at a time: revenue from each account against the crew hours, supplies and drive time it actually takes.

| Client | Monthly revenue | Crew labor | Supplies | Drive | Margin | Margin % |
| --- | --- | --- | --- | --- | --- | --- |
| Office, 3 nights a week | $1,200 | $768 | $60 | $40 | $332 | 28% |
| House, every other week | $320 | $240 | $15 | $25 | $40 | 13% |
| Medical office, 5 nights a week | $2,400 | $1,344 | $180 | $30 | $846 | 35% |
| Total | $3,920 | $2,352 | $255 | $95 | $1,218 | 31% |

Crew labor here is hours times a burdened rate of $24 an hour: wages plus payroll taxes and workers’ compensation. Without the burden, every client looks better than it is. The figures are illustrative; the point is that the house on the second line barely covers its cost, and a price increase or a tighter route is a decision the owner can only make with this table in front of them.

Scheduling software usually holds the hours by client. The books supply the burdened rate and the supply and vehicle costs, so the table can be rebuilt each quarter.

## Cleaning business tax deductions

A cleaning business deducts the ordinary and necessary costs of doing the work (IRC §162). The table lists the common ones, the account each belongs in, and what to keep in mind for the record behind it.

| Expense | Account | Notes |
| --- | --- | --- |
| Cleaning supplies and chemicals | Supplies | Kept apart from equipment and from personal shopping |
| Vacuums, floor machines, carpet extractors | Equipment, or fixed assets | Items of $2,500 or less per item or invoice can be expensed under the de minimis safe harbor election |
| Crew wages, payroll taxes, workers’ comp | Cost of labor | Only for employees on payroll |
| Contract cleaners | Contract labor | W-9 on file, 1099-NEC at $2,000 for payments after December 31, 2025 |
| Vehicle | Car & truck | Mileage log between jobs, or actual costs |
| Liability insurance and bonding | Insurance | Commercial clients often require proof |
| Uniforms with the company logo | Uniforms | Provided to crew |
| Scheduling and invoicing software | Software | Per-user subscriptions |
| Marketing and lead services | Advertising | Kept by source |
| Payment processing fees | Merchant fees | Card deposits recorded gross, fee separate |
| Phone | Utilities | Business share |

Driving from one client to the next is business mileage. For 2026 the IRS standard rate is 72.5 cents a mile for driving through June 30 and 76 cents from July 1 (Announcement 2026-11), so a log with dates matters this year more than most. Card deposits arrive net of fees; record the gross and the fee, as in our fix for [credit card processing fees](/fixes/card-processing-fees/). What to claim on the return is the tax preparer’s decision.

Some states tax cleaning services, most often commercial or janitorial work rather than residential; Texas, for example, taxes janitorial services for nonresidential property. Check the state’s rules before the first commercial contract, because sales tax not collected from the client is paid by the business.

## What accounting software do cleaning businesses use?

Most cleaning businesses that have outgrown a spreadsheet use scheduling software for routes, recurring visits and client payments, with QuickBooks Online for the books. The pairing works when recurring invoices and payments sync to the right revenue accounts, payment app receipts are matched to invoices rather than recorded as loose deposits, and crew pay comes from a payroll service rather than from the owner’s phone.

## How much does cleaning business bookkeeping cost?

Fixing a cleaning business file usually means matching a year of mixed card, check and payment app deposits to invoices, separating personal purchases from supplies, and setting up crew pay and 1099 records properly. That is a [cleanup](/quickbooks-cleanup/) engagement, scoped to the number of months affected. The [cost calculator](/tools/pricing-calculator/?months=12) totals it with the monthly fee for any number of months.

$99per month of backlog20% off 6+ months

Once the file is clean, a [monthly close](/monthly-bookkeeping/) matches every payment to its invoice, reconciles every account and keeps the 1099 records current, closed by the 5th business day. That is $149 a month (up to 3 accounts, up to 200 transactions a month), and $199 past either limit. Owners can read how an engagement starts on the [outsourced bookkeeping page](/for-business-owners/).
