# Bookkeeping for _multiple_ LLCs

Multi-entity bookkeeping keeps separate, reconciled books for every company one owner controls, and matches the money that moves between them. One bookkeeper closes every file by the 5th business day and records each transfer on both sides, so a loan from one LLC to another reads as a loan in both sets of books.

## How much does bookkeeping for several companies cost?

Each company you own is billed as its own QuickBooks file, month to month. A file with up to 3 bank or card accounts and up to 200 transactions a month is $99. A larger file, and the file that carries the intercompany reconciliation, is $199. The four-company group below comes to $596 a month.

Standard

Up to 3 bank or credit card accounts, and up to 200 transactions a month.

$99per file, per month

High volume

More than 3 accounts, more than 200 transactions a month, or class, location and multi-entity reporting.

$199per file, per month

## How does intercompany reconciliation work?

Every pair of your companies that moves money gets a matched pair of accounts, and the two must agree before either file is called closed.

A Due from and Due to account in each file, named for the company on the other side, for every pair that transacts

Settled: 1\. Mapped

Each transfer posted in both files on the same date, with the bank reference and the loan register updated

Settled: 2\. Recorded

At each close, Due from B in company A must equal Due to A in company B. A difference is found and fixed before the month closes

Settled: 3\. Tied out

The close package for every company includes the intercompany schedule, so you can see who owes whom

Settled: 4\. Reported

At year end, a related-party schedule for each company goes to your tax preparer

Settled: 5\. Handed over

The entries themselves are worked through in [intercompany loans between LLCs](/blog/loans-between-llcs/) and the [journal entry reference](/blog/journal-entry-examples/). What a single LLC needs each month is in [bookkeeping for an LLC](/blog/bookkeeping-for-llc/). Untangling companies that paid each other's bills is in [commingling funds](/blog/commingling-funds/), and the related-party records a foreign-owned LLC keeps are in [Form 5472 for your books](/blog/form-5472-bookkeeping/).

Detail

## Questions owners ask before they start

### Does one bookkeeper hold all of my files?

Yes. Every company you own is closed by the same person, Omkar Moraye, a QuickBooks Certified ProAdvisor named on [the about page](/about/), on the same schedule. That is the whole point: a transfer between two of your LLCs is only reconciled properly by someone who can open both files. Split the files between two bookkeepers and each one categorizes their half of the transfer on its own, which is how a loan ends up as income in one company and an expense in the other.

### What is multi-entity accounting?

Keeping the books for several legal entities under common ownership: a separate set of books for each, plus a record of every transaction between them, so the group can be read as a whole. For an owner with a few LLCs, that means one QuickBooks Online file per company and intercompany accounts matched every month. Larger groups add consolidated statements, which remove the balances and transactions between the companies so the group is not counted twice.

### Can one LLC loan money to another LLC?

Yes, and it is common between companies with the same owner. The lending LLC records a receivable from the borrower, the borrowing LLC records a matching payable, and both should be backed by a written note with the amount, interest rate and repayment terms. Without the note and the matching entries, a transfer is easy to read later as a contribution, a distribution or income. Whether to charge interest, and at what rate, is a question for your tax preparer. The entries in both files, and the interest rules, are in [intercompany loans between LLCs](/blog/loans-between-llcs/).

### When do you use due to and due from accounts?

Whenever one of your companies pays for, collects for or lends to another. Due from is an asset in the company that is owed; Due to is a liability in the company that owes. They hold short-term balances between related companies, and each pair must match across the two files every month. A formal loan with a note can use Loan receivable and Loan payable accounts instead; we use whichever your preparer prefers, and use it the same way in every file. The setup and the month-end match are in [due to and due from accounts](/blog/due-to-due-from-accounts/).

### Should several businesses share one LLC or have one each?

That is a legal and tax decision for your attorney and preparer, and it turns on liability, state fees and how each business is taxed. The bookkeeping consequence is simpler: one LLC running several lines of business is one QuickBooks file, split by class or location. Several LLCs are several files, and money moving between them has to be recorded on both sides. We keep either structure; what each one needs is in [owning multiple LLCs](/blog/multiple-llcs/).

### How is each company priced?

Intercompany reconciliation is part of the High volume plan at $199 a month. It is charged on the company that carries it, usually the one with regular transfers to and from the others, not on every file in the group. Every other company is priced by its own size: up to 3 bank and card accounts and up to 200 transactions a month is $99, more than either is $199.

If a company grows past a line, or starts carrying the transfers instead of another, the new band starts the following month, never backdated. We tell you before it happens.

### What about a dormant company or one that just started?

Both are $99 a month, and both are still closed and reconciled every month. A dormant LLC with one bank account still needs that statement matched each month, so the balance it carries into year end is right. If it holds a loan from one of your other companies, its side is tied out as part of that company's close, so it stays in the group reconciliation without moving up a band. A new company starts in Standard and moves up only if its own volume does.

### Is there a rate for taking all of them together?

The published rate is per file, and it already works as a group price: the intercompany reconciliation is paid for once, on the file that carries it, and the smaller companies stay at the lower rate. Groups of ten or more files are priced individually; that is a conversation about scheduling as much as price.

### What do you need from me for loans between my companies?

The signed note or loan agreement for each loan, if there is one, and a short heads-up when money moves between companies for a reason other than a loan, such as one company paying another's bill. We record every transfer in both files, keep a loan register for each pair of companies and match the balances every month.

We do not draft loan agreements, set interest rates or decide whether a transfer is a loan, a capital contribution or a distribution. Those are decisions for you, your attorney and your tax preparer. Once they are made, we book them consistently in both files.

### Can I manage multiple companies in one QuickBooks Online file?

Not if they are separate LLCs. Classes split a profit and loss, but one file has one balance sheet and one set of bank reconciliations, so each company's assets, debts and equity end up blended together. QuickBooks Online is one subscription per company, and an accountant user moves between all of your companies from a single login. Each LLC gets its own file, and the transfers between them are what we reconcile.

### What does my tax preparer get at year end?

For each company: December closed and reconciled like every other month, with the usual profit and loss and balance sheet, plus a related-party schedule listing every balance and transaction with each of your other companies, by counterparty. The schedule is part of the monthly price. We answer the preparer's questions directly, so they are not routed through you.

We keep the books, not the returns. A formal year-end package, such as a trial balance prepared as a working paper or a 1099 vendor report, is quoted separately.

### I am a foreign owner of US LLCs. Does this cover Form 5472?

The bookkeeping side, yes. A foreign-owned single-member LLC reports its transactions with related parties on Form 5472, and the related-party schedule above lists them by type: contributions, distributions, loans and payments made on the company's behalf. Your preparer files the form. We make sure the transactions it reports are recorded, tagged and tied out across your files all year, rather than reconstructed in March.

### What if some of the files are behind?

Each file is brought current first, through [cleanup](/quickbooks-cleanup/) or [catch-up](/quickbooks-catch-up-bookkeeping/), priced per month of backlog. Intercompany balances are matched across files as part of that work, so the first monthly close starts from balances that already agree.

### What access do you need?

Accountant-level access to each QuickBooks Online file, through an accountant user invitation. You keep the primary admin role and billing, and you can remove it from any file at any time. For a free review, one file is enough: pick the one with the most movement between companies, since that is where the fit shows.

### Do you do this for an accounting firm's clients?

Yes, under the firm's name. The work and the price are the same; see [white-label bookkeeping](/white-label-bookkeeping/).
