What lands on the file
Everything below is done on your client's file, under your firm's name. The first eight are inside the fees above. Cleanup, catch-up and monthly close each draw on the ones the file needs.
For clients who want the payroll run rather than only recorded. It sits outside the per-file fees above and outside the full fee schedule, so tell us the headcount and pay frequency and we'll quote it with the file.

One file or fifteen, with accountant-level access. Send us the whole list at once and we'll scope it together instead of a referral at a time.
Within 48 hours we'll tell you where each file stands: ready as it is, needs a cleanup first, or needs a full catch-up. You get the fixed fee for each one before any work starts.
Categorized, reconciled and back with you in 10 business days. We schedule around your filing dates so the work arrives ahead of them, not on top of them.

Not unless you want them to. We work as an accountant-level user on the client's QuickBooks file, we don't email or call the client unless your firm asks us to, and nothing we hand back carries our name. Questions come to your firm, and you decide what reaches the client.
Monthly close starts at $99 per client file per month, cleanup runs $99 per month of backlog, and a year-end CPA handoff pack is $199 per client. Those are the fees we charge, published in full. Whatever you bill your own client on top is yours to keep.
No. There's no minimum file count, no minimum term and no notice period: the fee is per file, agreed before the work starts, and you can stop after any month without owing anything further. Most firms start with one file for exactly this reason. The only standing term that runs past an engagement is the one in your favour: a client you introduce is yours permanently, and we won't accept direct work from them.

Your file stays with the person who opened it instead of moving to whoever is free that week. So when your reviewer asks about a transaction, they get the person who categorized it, which is also why a file shouldn't come back needing a full re-review.
Honestly, mostly they do. Bank-feed rules and AI handle routine categorization well now. What they get confidently wrong is transfers, owner draws, loan principal versus interest, and anything reimbursable, because a payee string doesn't explain the money's real story. A suggested category isn't a reconciliation, and nothing automated notices a double-counted deposit or a year of undeposited funds piling up. Someone still has to answer to your reviewer for that judgment call.
Send us the whole list at once and we'll scope it as a batch, then schedule each file against your filing deadline instead of the order it landed in. A firm sending 15 files ahead of an October deadline and 15 more ahead of March gets two separate schedules, not one crowded one.
Fair question, and worth asking any subcontractor. Every file's status, working papers and flagged-items list live in the client's own QuickBooks file and in a shared folder your firm can reach, so nothing is ever stranded on one laptop. If a delivery date looks at risk, you hear it the same day we do instead of on the deadline.
Yes, and it works best if we know early. Most firms send their client list 6 to 8 weeks ahead of a filing deadline, which leaves room to catch a messy file well before it's due. Leave it later than that and we'll still take it on, we'll just have less room to move on which file goes first.
Accountant-level access, and nothing beyond it. That's enough to categorize, reconcile and run reports, and not enough to touch billing or delete the company file. If the login sits with the client instead of your firm, we're happy to send the access request straight to them with your firm named as the reason, so you're not the one chasing it.
No, those are yours, and we'd rather not guess at them. Depreciation schedules, book-to-tax differences and anything needing a judgment call about the return come back flagged for your review instead of posted on your behalf. A handoff pack closes the bookkeeping gap. It was never meant to close the preparer's.
