Uncategorized income in QuickBooks Online

Updated October 24, 2026 ·

What is uncategorized income in QuickBooks Online?

Uncategorized Income is 1 of the default accounts QuickBooks Online uses to hold money received that still needs a category, usually bank-feed deposits posted without one. It often holds transfers, loans, owner money and invoice payments that are not new income, so profit is overstated. Match each deposit to its invoice, transfer or loan first, then categorize the rest.

Sounds like

  • The Profit and Loss has an Uncategorized Income line and nobody can say what is in it
  • Invoices still show as open even though the customers paid months ago
  • Income looks higher than the business actually earned this year
  • Bank deposits were added from the bank feed without anyone choosing a category
  • The CPA asked what Uncategorized Income is before starting the tax return

Why is there money in Uncategorized Income?

Uncategorized income in QuickBooks Online is money that came into the business and was recorded without anyone saying what it was. Intuit lists Uncategorized Income among the default accounts QuickBooks creates automatically, to “track money your business earned or spends that still needs to be categorized” (Manage default and special accounts, updated August 3, 2026). Amounts land there in three ways, roughly in the order they happen in a file:

  1. A deposit was posted from the bank feed without a category. When QuickBooks cannot work out how to categorize money coming in, it assigns Uncategorized Income, and posting the deposit as it stands records it there. This is most of what the account holds in most files.
  2. A bank rule sent it there. A rule can set the category on every deposit that matches it, and with Automatically confirm transactions this rule applies to turned on it posts them with no review at all (Set up bank rules, updated September 11, 2026). Rule-posted transactions carry a RULE badge in the category field, and auto-posted ones an AUTO badge.
  3. An item points there. Every product or service on an invoice or sales receipt posts to the income account set on the item. One set to Uncategorized Income sends every sale of it there, with no bank feed involved.

Whatever the route, the account is a holding place, not a kind of income. Its balance is a list of deposits nobody has identified yet.

What is usually hiding in Uncategorized Income?

Most of what sits in Uncategorized Income is not new income at all. A business deposit can be any of these, and each one is wrong in a different way while it waits:

What the deposit really was Where it belongs What is wrong while it sits in Uncategorized Income
A customer paying an open invoice Matched to the invoice payment The sale is counted twice on an accrual Profit and Loss, once on the invoice and again here, and the invoice stays open in Accounts Receivable
A Square, Stripe or other processor payout The processor’s clearing account Sales are understated, fees are missing, and tips or sales tax are counted as income
A transfer from savings or another business account A transfer between the two accounts Income is overstated, and the other account’s balance is wrong
The owner putting money in Owner’s investment or a shareholder loan Income is overstated by money that was never earned
A loan or line of credit drawing The loan liability Income is overstated and the debt is missing from the balance sheet
A refund from a supplier The expense account of the original purchase Income and expenses are both overstated by the refund
A real sale with no invoice behind it The right income account The total is right, but the income is on the wrong line

The first row is the most common in service businesses that send invoices. A deposit of $2,400 paying invoice 1187, added from the bank feed instead of matched, leaves the file looking like this:

Before the fix After the fix
Services (income from invoice 1187) 2,400.00 2,400.00
Uncategorized Income (the deposit) 2,400.00 0.00
Income on the accrual Profit and Loss 4,800.00 2,400.00
Accounts Receivable, invoice 1187 2,400.00 0.00

The bank balance is right in both columns, which is why the error survives reconciliation. On a cash-basis report the same deposit counts once, but the invoice still shows as unpaid, and a customer gets a reminder for money already received. The same pattern with sales receipts is in sales receipt and deposit counted twice.

How do I find what is in Uncategorized Income?

Go to All apps, then Accounting, then Chart of accounts, find Uncategorized Income, and select Run report in the Action column. Income accounts have no register, so Intuit’s chart of accounts article points to the report instead (Chart of accounts in QuickBooks Online). Set the date range to all dates, not this year, because the oldest items are usually the ones nobody remembers.

Export the report and add two columns: what each deposit was, and where it should go. Sort by amount. Repeating amounts are usually one customer’s monthly payment or one recurring transfer, and they can be answered in one go. The rest go to the owner as a list, with the date, amount and bank description of each.

How do I fix uncategorized income in QuickBooks Online?

Fix each deposit according to what it turned out to be, in this order.

1. Check whether the deposit is reconciled

Open the deposit and look at the bank account’s register for an R in the reconcile column. A reconciled deposit should be corrected in place, by changing its category, not undone and rebuilt, because the amount and the bank account already match a closed bank statement. Changing only the category leaves both alone.

2. Rematch deposits that pay an invoice

For a deposit that is not reconciled, go to All apps, Accounting, Bank transactions, open the Posted tab for the bank account, find the deposit, and select Undo. QuickBooks moves it back for review (Match your bank and credit card transactions, updated August 14, 2026). If the payment was already recorded on the invoice, use Find other match and select it. If it was not, record the payment against the invoice first, then match the deposit to it. Intuit’s rule of thumb holds here: match when a record already exists, categorize only when none does.

A reconciled deposit that paid an invoice is the harder case: the invoice needs the payment, and the bank already has it. Work it with whoever reconciles the account, or leave it for the cleanup, rather than deleting a reconciled deposit.

3. Recategorize everything else

For transfers, owner money, loans and refunds, open each transaction and change the category from Uncategorized Income to the account in the table above. A transfer is matched to the other account’s transaction, not categorized twice. A processor payout goes to its clearing account, as set out in recording payment processor payouts.

For a long list, QuickBooks Online Advanced and QuickBooks Online Accountant have a bulk tool: Settings, Dimensions, Dimension assignment, Reclassify transactions (Reclassify or move multiple transactions, updated August 5, 2026). It moves a batch of transactions to a new account at once. Intuit names its limits: it cannot change the bank or card account on an expense, and on an invoice, sales receipt, check or bill with items it can change only the class. An item-driven sale posting to Uncategorized Income is fixed on the item, not with this tool.

4. Fix the rule or the item that caused it

Go to All apps, Accounting, Rules. Any rule that sets the category to Uncategorized Income should name the real account or be turned off from its Actions menu, and a rule with automatic confirmation on deserves a second look, because it is posting deposits nobody reads. For an item, edit it in the products and services list and change its income account.

Can you delete Uncategorized Income?

No. Intuit says Uncategorized Income and Uncategorized Expense can be edited but not made inactive or merged into another account. Renaming the account does not change what is in it. The only way to clear it is to move each transaction it holds.

Is uncategorized income taxable?

Uncategorized Income is not a tax category, and the label tells the tax preparer nothing. What matters is what the money was: sales are income, while transfers, loans and the owner’s own money are not. A balance left there at year end has to be identified before the return is prepared, which is why it is the first question a CPA asks about it.

What are Uncategorized Expense and Uncategorized Asset?

They are the same holding account for money going out and for assets. Uncategorized Expense holds payments posted without a category. Intuit describes Uncategorized Asset as holding “any asset that can’t be matched to another account,” and it can fill up when bank-feed transactions are recorded as transfers with no real account on the other side. Both are cleared the same way as Uncategorized Income. A third, user-created holding account, Ask My Accountant, works differently and has its own page.

What to check before changing anything

  • Reconciled status. An R on the deposit means it is corrected by category only.
  • Closed periods. If a closing date is set in QuickBooks, changes dated before it are blocked or need the closing date password, and a filed year should be changed only with the CPA.
  • Open invoices. Run an open invoices report before recategorizing anything. A deposit with the same amount as an open invoice is almost always its payment.
  • The other account. For a transfer, check that the other bank account does not already show the transfer from its own feed, or the fix creates a second one.
  • Connected apps. A processor or field app that already posted the payout means the bank-feed deposit should be matched to that record, not categorized.

When the balance is more than a month or two

A few weeks of uncategorized deposits are routine bank-feed review. Months of them, or a balance that crosses reconciled periods and a filed tax year, mean revenue and Accounts Receivable have both been wrong for that long, and every month has to be worked against the bank and the open invoices. That is cleanup work. How the bank feed should be run so it does not happen again is in bank feeds in QuickBooks Online, and the same balance on a cash-basis report has its own cause in Unapplied Cash Payment Income.
